True North Consult Ltd is a boutique HR Consultancy Firm that offers bespoke HR solutions to selected clients in various sectors and industries across East Africa, with operational offices in Kampala, Nairobi and Kigali.

 

Job Summary: To ensure that all administrative and operational tasks within the ICD Logistics Department are executed efficiently, accurately, and in compliance with company procedures, client requirements, regulatory standards, and ISO 9001:2015 Quality Management System requirements Documentation & Cargo Handling.

 

Key Duties and Responsibilities:

  • Receive and verify TEUs accompanying documents.
  • Maintain and update the registers/reports accurately.
  • Document handover to Clients.
  • Immediately escalate (“Red Flag”) any discrepancies.

File Management

  • Open, update, and close AICD files accurately.
  • Generate accurate truck loading orders.
  • Process exits permits upon receipt of required documentation.
  • Match supplier invoices to relevant files before submission for approval.

Reporting & Stock Control

  • Update and transmit daily stock reports. Maintain accurate client stock records.
  • Ensure compliance with agreed client KPIs. Identify and report discrepancies immediately.

Compliance & ISO Support

  • Ensure adherence to documented procedures and SOPs.
  • Maintain proper record control in line with ISO document retention policies. Participate in internal audits where required.
  • Identify process improvement opportunities.
  • Contribute to corrective and preventive actions (CAPA).

Additional Duties

  • Perform any other duties assigned by Management

 

Qualifications, Skills and Experience:

  • Experience.
  • Minimum 1 year experience in clearing and forwarding.
  • Minimum 1 year’s customer service experience.
  • Certificate in clearing and forwarding or Diploma in Transport and Logistics Management or equivalent.
  • Organized and detail oriented.
  • Team player.
  • Efficient and accurate.
  • Strong problem-solving ability.
  • Good written and oral communication skills. High sense of urgency.
  • Integrity and accountability.
  • Proficiency in Microsoft Office applications
