Job Summary: We are sourcing for suitably qualified professionals to assign to our Client to fill the job of Transport Coordinator.

Job Purpose The job holder ensures the smooth coordination of transport operations by acting as the focal point between Import, Export and Transporters ( Inhouse Transport Department, Uganda and Kenyan Transport Supplier) . He/she coordinates closely on with the Kenyan side transport co-ordinator and manages day to day truck allocation either by registered transporters of AGL Kenya or AGL Uganda, optimizes truck utilization for both export and import movements, follows up on empty returns, and coordinates cross border activities with AGL Kenya team and the Malaba (UG) border clearance teams.

 

Key Duties and Responsibilities:

Operational Coordination

  • Serve as the focal point between Import, Export, and Transport departments.
  • Share daily transport operational updates, challenges, and plans with concerned teams.
  • Ensure smooth flow of information among all stakeholders.

Truck Allocation & Utilization

  • Coordinate with Keyna office/transporter rep. and follow up deliveries of imports to final destinations.
  • Ensure timely empty container return to designated depots or Mombasa port.
  • Report delays and escalate issues to Transport Manager.
  • Cross Border Coordination
  • Liaise with Kenya transport desk and truck providers for cross border movements.
  • Work closely with Malaba border clearance team (UG side) to ensure smooth clearance and timely truck release.
  • Follow up on border delays and share timely updates.
  • Documentation & Reporting
  • Ensure all interchanges, delivery notes, and proof of delivery documents are received and properly shared.
  • Update TMS and other business tools with all movement statuses.
  • Notify teams of missing or incomplete documentation and follow up regularly.
  • Apply the quality policy defined by Africa Global Logistics management.
  • Comply with all rules, procedures, and work instructions related to the position.
  • Maintain active involvement in continuous improvement for customer satisfaction and operational performance.
  • Report anomalies or difficulties encountered during work activities.
  • Support operational needs of the agency as required
  • On time truck allocation for import and export operations
  • Truck turnaround time efficiency
  • Accuracy of daily movement updates in TMS
  • Reduction of delays in empty returns
  • Effective communication and coordination score with internal teams

 

Qualifications, Skills and Experience:

  • Diploma or Degree in Logistics, Transport, Supply Chain, or related field.
  • Professional certification in transport, dispatching, or fleet management is an added advantage
  • Experience
  • 2-4 years’ experience in transport coordination, dispatching, or logistics operations.
  • Knowledge of Uganda-Kenya transport corridors and cross border processes.
  • Skills
  • Good command of Microsoft Office tools.
  • Good communication and interpersonal skills
  • Strong coordination and communication skills
  • Analytical and planning capabilities
  • Ability to prioritize and manage multiple operational tasks
  • Problem solving and decision making skills
  • Competency in using transport planning tools/TMS
  • High sense of urgency and operational discipline
  • HSQE (Health, Safety, Quality & Environment) Respect traffic rules and ensure transporters comply with AGL safety standards.
  • Always wear required PPE in operational areas.
  • Immediately report any unsafe situation or near miss.
  • Ensure cleanliness and proper use of workplace/yard areas.
  • Do not operate near suspended loads or unsafe zones.
  • Adhere to alcohol and drug free policies.
  • Comply with emergency & evacuation procedures.
  • Participate in mandatory HSQE trainings and toolbox talks.
  • Promote and support the company’s environmental protection initiatives.
  • Compliance Ensure strict compliance with AGL policies, SOPs, transport procedures, and ethical standards.
  • Ensure all allocated transporters meet regulatory and contractual compliance requirements.
  • Ensure that documentation submitted (interchange, POD, gate passes) meets operational compliance guidelines.
  • Uphold data accuracy within TMS and business tools in line with compliance requirements.
  • Report any breach of compliance to the Transport Manager or Compliance Department
