Our mission is to plant the seeds that overcome poverty by providing access to economic empowerment, education, and spiritual discipleship among marginalized communities in Uganda and beyond.
Job Summary: The Program Coordinator is responsible for the overall effectiveness and efficiency of all Seed Effect operations (Savings for Life Program, Training Program, and Spiritual Discipleship Program, among others). The Program Coordinator will actively supervise all Field staff members to ensure each staff member is empowered to complete and be accountable for their responsibilities
Key Duties and Responsibilities:
Operations Management
- She/he is responsible for supervising all Seed Effect Uganda field operations at the Field level, which includes the Saving For Life program, the Educative training program, and the Spiritual Discipleship program, among others.
- Ensures effective and efficient functionality of the Field office either by taking individual responsibility or delegating responsibility to a Seed Effect employee.
- Continued cooperation with the Head office in the implementation of the organizational program through effective and timely communication
- Timely submission of accurate reports to all departments and the Head Office for decision-making and action
- Update the risk matrix with consultation from the team
- Timely reporting of Field operational hazards and unforeseen risks
- Ensure SPOs and POs attend working sector group meetings and the coordination meetings.
- Attend the interagency meetings.
- Write back to the office reports on the interagency meeting
Staff Management
- Monitors the performance of each employee to ensure each employee works diligently and to the best of their abilities.
- Ensures all branch employees comply with the policies of Seed Effect and exemplify the mission and values of Seed Effect in their work.
- Periodically appraises staff and provides a report to the Human Resource office on staff performance and recommendations of possible interventions to improve performance, as well as provides feedback to employees.
Monitoring, Evaluation, Accountability & Learning (MEAL).
- Coach CBFs during weekly group meetings to ensure technical quality and spiritual depth.
- Oversee the collection of MIS data, social evaluation survey, group registration forms, among others, ensuring completion of monthly forms.
- Maintain a functional database for participants trained, i.e., type the names into the standard database format
- Participate in the reflection meeting for CBFs.
- Support program-level operational planning and logistics for field activities.
- Share insights on local needs, adoption barriers, and best practices (agriculture, business, spiritual).
- Assists in developing and implementing plans for expansion to new Seed Effect branches or sites.
Communication with Staff
- Maintains direct and open communication with each field office employee. This includes proactively seeking feedback from each employee about their areas of responsibility and being responsive to their ideas and concerns.
- Maintain an open, collaborative, and team-oriented environment among field employees.
Program Implementation
- Connects with stakeholders, attends program meetings, and provides reports to both Head Office and Stakeholders on the progress of operations in the area of operation.
- Represents Seed Effect Uganda in the area of operation and provides feedback to the Head Office.
- Supervises and ensures timely entry of operation-related data in the system.
- Support the team to ensure that CBF reflection meetings are conducted.
Program Evaluation and Growth
- Support in proposal writing.
- In collaboration with the Head Office team, develop and implement ideas to improve program performance and expand operations in a manner consistent with the mission and objectives of Seed Effect.
- Assists in developing and implementing plans for expansion to new Seed Effect locations.
Communication with Country Office
- Maintains open, direct, and transparent communication with the country Office Teams. This includes being available to communicate with the teams each working day via email and Zoom as needed, additionally, respond to all emails appropriately
- Prepares monthly and quarterly reports on the operation of the SFL program and entire branch activities for submission to Head Office
Financial Management
- Ensure accurate and detailed records of all financial transactions are maintained at the field level
- Ensures compliance with all financial accountability procedures.
- Works closely with the departmental heads to develop, manage, and monitor field office budget and program funds.
Spiritual Integration
- Models a work ethic and lifestyle committed to humbly pursuing and serving Christ for the entire staff.
- Serve as the primary focal point for all spiritual integration activities in the field
- Collaborate with the Spiritual Integration department on the field office spiritual integration activities
- Identify, map, and profile potential partner churches within program communities.
- Coordinate the linking of Seed Effect savings groups to nearby churches for ongoing discipleship and sustainability.
- Organize and facilitate joint planning, review meetings, and conferences with church leaders.
- Collaborate with the MEAL team to collect feedback from church leaders and adjust approaches accordingly
- Actively pursue, model, and employ Biblical conflict resolution as necessary.
International relation
- Together with the Senior Program Officer and Program officers, plans, coordinates, and organizes the requirements for the successful visitation of donors and international visitors
Monitoring and Evaluation
- Supervise to ensure all data collection tools are administered in accordance with established guidelines.
- Supervise the team to ensure that a functional database is being maintained.
- Maintains responsibility for the coordination of project monitoring and evaluation at the field offices
- Follow up with the field team by providing technical, logistical, and organizational support to ensure continued engagement in program activities
- Develops evaluation plans and implements the monitoring and evaluation framework at the field level
- He/ she will oversee quality control of the project at the field level
- Ensure timely submission of accurate periodic report to the Country Office
- Ensure groups become independent and can run their activity without the support of Seed Effect Uganda
- Plans and visits Seed Effect Uganda program groups to know the progress of groups and provide feedback on the operation of activities
- Work with the field team to populate and disseminate the weekly briefers
- Personal confession of faith in Jesus Christ and a passionate commitment to Seed Effect’s mission to serve as a holistic tool to live out the Great Commission alongside the Great Commandment as we empower the poor to know and follow Christ, plug into the local church, and overcome physical poverty.
- Bachelor’s in Business Administration, Social work, Education, Monitoring and Evaluation, or any other related program, a post-graduate diploma in project management is highly desirable.
- Ability to demonstrate servant leadership skills
- 3 years’ experience with an NGO, preferably implementing Savings programs, microfinance, or banking
- Skilled leader, with excellent understanding of cross-cultural communications, workplace relationships, church relations, and the ability to relate to and effectively motivate staff.
- Ability to communicate and represent the organization to stakeholders Self-driven with demonstrated ability to work independently
- The ability to mentor staff and model successful management techniques and approaches.
- A servant’s leader, with excellent problem-solving and analytical skills
- Flexible with the ability to work for longer hours and travel from one part of the country to another
