Job Description/Requirements
Job Title: HR and Scheduling Administrator
Reports To: Country/Deputy Country Manager
Job Purpose:
The HR and Scheduling Administrator is responsible for coordinating and maintaining staff schedules to ensure smooth daily operations. This role requires strong organisational skills, attention to detail, and the ability to communicate effectively with staff, management, and clients.
Key Responsibilities:
- Create, update, and maintain staff schedules in line with operational requirements.
- Ensure adequate coverage for all shifts, taking into account holidays, absences, and training needs.
- Respond promptly to scheduling requests, changes, and queries from staff and management.
- Monitor attendance and maintain accurate records of hours worked.
- Liaise with HR and payroll to ensure correct reporting of hours, overtime, and leave.
- Support recruitment and onboarding by scheduling inductions, training, and shadow shifts.
- Maintain confidentiality and compliance with company policies and procedures.
- Provide administrative support as required, including data entry, reporting, and document management.
Skills & Competencies:
- Excellent organisational and time-management skills.
- Strong attention to detail and accuracy.
- Effective communication and interpersonal skills.
- Ability to work under pressure and adapt to changing priorities.
- Proficient in Microsoft Office Suite (Excel, Outlook, Word) and scheduling software.
- Problem-solving skills with a proactive approach.
Qualifications & Experience:
- Previous experience in scheduling, rostering, or administrative support role (desirable).
- Experience in Human Resources e.g., healthcare, hospitality, or logistics is an advantage.
Working Hours: Full-time, 40 hours per week, Monday–Friday
Location: Kyaliwajjala, Kampala
Salary: Shs 800,000 to 1,000,000
