About Organisation:
The MCI Media Hub is a collaborative workspace in Kampala, Uganda, launched by the Media-Challenge Initiative. Located in Kabalagala, it provides local journalists and media innovators access to radio, video, and TV studios, professional equipment, and tools designed to build sustainable journalism across East Africa.
Job Summary: The Administration Officer will oversee the day-to-day administrative, operational, and logistical functions of the Media Hub. The role ensures the efficient management of office systems, finances, client coordination, procurement, facilities, and organisational records while supporting programme implementation and business development.
The Administration Officer will help create a professional, organised, and welcoming environment for staff, clients, partners, and visitors.
Key Duties and Responsibilities:
Office Administration
- Manage the daily operations of the Media Hub.
- Maintain office systems, filing, and administrative records.
- Coordinate office supplies, equipment, and consumables.
- Ensure the office environment remains functional, organised, and professional.
- Receive visitors and manage enquiries.
Financial and Administrative Support
- Maintain petty cash records and support budget tracking.
- Assist with procurement and supplier management.
- Support financial documentation and audit preparation.
- Work closely with the Finance Officer on administrative matters.
Client and Programme Coordination
- Coordinate bookings for the studio, training rooms, equipment, and production schedules.
- Manage client appointments and event calendars.
- Support the planning and delivery of training, workshops, and media events.
- Maintain client databases and communication records.
Human Resource and Staff Support
- Support staff attendance and leave administration.
- Coordinate onboarding of interns and volunteers.
- Maintain personnel files.
- Assist in organising staff meetings and preparing minutes.
Procurement and Asset Management
- Maintain an up-to-date asset register.
- Coordinate maintenance of media equipment and office facilities.
- Monitor inventory levels.
- Support procurement in accordance with organisational policies.
Communications Support
- Respond to general enquiries.
- Coordinate correspondence and official communications.
- Assist with organising meetings and stakeholder engagements.
Compliance and Reporting
- Ensure administrative compliance with organisational policies.
- Prepare monthly administrative reports.
- Maintain confidential organisational records.
- Support partner/donor compliance and reporting requirements.
- The Administration Officer may be assigned other duties that contribute to the effective operation and growth of the Media Hub
Qualifications, Skills and Experience:
Education
- Bachelor’s degree in Business Administration, Office Management, Communications Management, or a related field.
Experience
- At least two years of relevant administrative experience.
- Experience working in a creative organisation, media house, NGO, or private sector business is an added advantage.
- Experience supporting events, training, or project implementation is desirable.
Preference will be given to candidates with:
- Experience in media, journalism, communications, or creative industries.
- Knowledge of nonprofit administration and donor-funded projects.
- Experience coordinating training programmes or public events.
- Familiarity with asset and inventory management systems.
- Basic understanding of digital content production workflows.
