Position Title: Digital Operations & Lead Management Admin

Department: Marketing

Reports to: Brand Manager

Location: Namanve Head Office

Job Purpose:

The Digital Operations & Lead Management Admin is responsible for ensuring quality customer engagements through responsive community management, efficient day-to-day lead processing across various OEM brands, and the creation of engaging digital content to enhance Client’s market presence. This role reports to the respective OEM Brand custodians and serves as the primary link between the dealership's digital touch points and the sales funnel.

Principal Accountabilities:

  1. Website & Digital Management
  • Update and maintain brand/OEM websites weekly, including campaign pages and vehicle listings.
  • Ensure website leads forms work correctly and report any other website issues to IT for resolution.
  • Maintain website hygiene and support basic SEO best practices.
  • Leads Management & Conversion Tracking
  • Manage and track incoming digital leads from websites, social media, paid campaigns, and approved non-digital platforms such as exhibition activations.
  • Ensure 100% daily lead treatment and timely follow-up by sales teams.
  • Maintain accurate lead records using approved systems.
  • Prepare weekly and monthly summaries of lead performance and response times.
  1. Social Media & Community Management
  • Execute social media posting according to approved schedules and campaigns.
  • Respond to customer enquiries and comments professionally.
  • Monitor and resolve customer complaints received via digital channels within 24 hours.
  • Ensure consistency in brand tone and messaging.
  • Content Support (Basic Photography & Videography)
  • Capture basic photos and short videos for internal marketing needs (vehicle arrivals, events, showroom activity).
  • Perform basic content creation and edits for digital use and internal reports.
  • Support event-related content creation and engagement.
  1. Agency Coordination & Reporting
  • Coordinate daily digital activities with advertising agencies in accordance with the approved GTM plans.
  • Monitor campaign performance and lead delivery.
  • Prepare accurate weekly and monthly digital marketing reports in agreed formats.

Key Challenges:

  • Speed of delivery is essential without compromising on the quality and accuracy of information.
  • Provide accurate and valid product/service information.
  • Timely submission of weekly and monthly leads treatment reports

Job Knowledge, Skills & Experiences:

  • Bachelor’s degree in marketing, Communications, or a related field.
  • Proven experience in digital marketing operations, lead management, and conversion optimisation
  • Strong understanding of social media platforms and community management best practices.
  • Excellent written and verbal communication skills.
  • Basic photography and videography skills for internal marketing use
  • Familiarity with basic editing tools (e.g. Capcut, mobile editing apps, Canva, or equivalent)
  • Proficiency in using CRM systems and social media management tools.
  • Proven ability to manage multiple projects at a time while paying strict attention to details.
  • Computer skills with competence and experience with Microsoft Office packages
  • Creative thinking and ability to generate innovative ideas for content creation.
  • Previous experience in B2B or B2C sales environments is an added advantage.

Key personal attributes:

  • The ideal candidate will have prior experience in MS programs such as Microsoft Word, PowerPoint, and Excel
  • Sufficient knowledge of social media tools with the ability to read and comprehend the English language.

The admin must be.

  • An organised multitasker able to meet set daily with minimal supervision.
  • Strong coordination, follow-up, and reporting discipline
