POSITION PURPOSE

The Vendor Analyst will perform professional level end to end management of the bid process, produce directives and implement bid proposals for our different pillar segments. They’ll carry out purchasing tasks associated with creating and processing a wide variety of formal solicitations. Reviews and drafts of contracts with vendors and staff.

REPORTING LINES & FLOW OF INFORMATION
The Vendor Analyst will work under the overall guidance of the Procurement and Logistics Coordinator under shared services.

MY HIGH PERFOMANCE ACTIVITIES ARE (HPA’S):

1. Knowledge of Contract law and the methods, procedures and practices used in contract administration.
2. To develop a bid strategy to achieve an excellent success rate by identifying winning themes/bids
3. Coordinates resources professionally and manages the entire bid process from start to finish.

QUALIFICATIONS AND EXPERIENCE / BACKGROUND
1. Must possess at least a bachelor’s in business administration - Procurement and Logistics as an option.
2. Experience of at least 5 years in Procurement & dealing with bid specifications, statements of work, requests for proposals and solicitations, contract formation and/or administration.
3. Exposure and active participation in Prequalification and disposal exercise is a must.
4. Competence in Ms. Microsoft excel and Ms word is a must
5. Good report writing skills

1. Excellent spoken and written English
2. Self-directed and capable of working with minimum supervision
3. Ability to work within tight deadlines
4. Ability to work under pressure while maintaining accuracy

6. Strong commitment to Cotton On Foundation’s cause and values

Main Responsibilities
1. Profile different vendors into the categories applied for.
2. Develop a Prequalification matrix. Strategically develops evaluation criteria, negotiation efforts and
3. awards for best business value.
4. Reviews bid specifications and statements of work for compliance with procurement regulations.
5. Prepares and/or reviews request for proposals and any resulting contracts with internal customer input to assure compliance with public procurement regulations.
6. Vet/evaluate vendors based on the set standards/criteria.
7. Carry out supplier visits as instructed.
8. Develop questionnaires for suppliers visit.
9. Organize bidding documents in accordance to Profile (category)
10. Prepares and completes file documentation in support of the contract award.
11. Prepare a Prequalification report using PPDA format.
