Position Reports To: Country Managing Director
About the client.
Our Client specializes in building, leasing, and maintaining refrigerated cold storage facilities. They also provides clients the ability to outsource their cold chain management to experienced experts. Our client is looking to fill the above position.
Primary Job Purpose
Reporting to the Country Managing Director, the Transport and Logistics Manager will be responsible for directing, coordinating, planning and overseeing tasks and operations within an organization involving transportation activities. He/she is required to ensure the legal requirements. Responsibilities will extend to developing strategies to ensure the efficient and cost-effective functioning of the service.
1. Key Performance Areas (KPA)
Duties and Responsibilities/Tasks
1. Planning and Control:
- Directing activities related to dispatching, routing, and tracking of transportation vehicles.
- Planning, organizing, and managing subordinate staff members and contractors to ensure work is completed and consistent with the company's standards.
- Ensuring goods in transit cover is in place for every load
- Reducing the risk of vehicle overloading
- Ensuring that records are kept for all drivers’ downloads of digital tachograph cards.
- Collaborating with staff members to formulate and implement transportation-related procedures as well as company revenue goals and customer service objectives
- Critical Outcomes
- Clear procedure to be followed in cases where a driver suspects that there might be an overload.
- Drivers to check consignment notes and be able to calculate the weight. Weighbridge slips
- Downloads should be undertaken at regular intervals. Vehicle units should also be downloaded regularly
2. Business Development
- Assist country manager in preparing logistic business proposal for prospective logistic customers
- Manage customer relationships as the main point of contact by responding to their queries within agreed SLA, issuing them with reports and reporting performance
- Identify new business opportunities by identifying new logistic routes or services and bringing these to the attention of the country manager
- Assist country manager in preparing annual budget for logistics and transportation business
Outcomes.
- Meeting customer SLA’s on responsiveness and KPIs
- Logistics Budget and forecast on time for board approval
- Delivering (and exceeding) on Logistics Budget
3. Compliance
- Manage, audit and review compliance systems to ensure that they are effective.
- Review any shortcomings such as prohibitions and/or annual test failures.
- Keep up to date on relevant changes in standards and legislation.
- Ensuring that all drivers and operators have the correct, up to date qualifications.
- Ensure that drivers are properly trained and competent to operate all relevant vehicles and equipment.
- Drivers comply with the drivers’ hours and working time rules.
- Making sure vehicles are properly maintained.
- Inspecting vehicles.
Outcomes
- Ensure that relevant changes are notified in accordance with operator licence requirements
- Valid licences and certification (up to date critical list)
- Records are made available and kept for the required period.
- Repair and routine maintenance schedules and reports
- Vehicle inspection checklists
4. Investigation and Corrective Actions Reporting
- Investigate customer complaints or in-transit incidents and report on corrective actions and preventative actions to management and customer, contractors / service providers and operations.
- Carry out audit checks by comparing timesheets, gate logs, fuel receipts and weighbridge tickets with the tachograph records to confirm the accuracy of the chart or download.
- Provide detailed audit reports with findings. Identify non-conformities and provide corrective action measures to prevent re-occurrence.
- Monitor and review those corrective measures have been implemented.
- Ensure that all aspects of Health & Safety are adhered to
Outcomes
- Investigation reports to be sent to management within 24 hours of incident.
- Internal audit reports to be sent to management
- Regular meetings with drivers should be held where any cause for concern can be discussed.
- Audit findings compliance to be implemented within 30 days of finding
- Including H&S induction and training, operating procedures, near miss reporting and emergency procedures.
5. Health and Safety
- Perform any other work-related duties and responsibilities that may be assigned from time-to-time by management
Experience & Qualification
- Min 5 years’ experience working with transport management systems and warehouse management software.
- Solid knowledge of the transportation industry and logistics.
- Experience preparing and tracking orders
- Knowledge of supply chain management and an understanding of warehouse procedures.

- Ability to work in stressful situations, multi-task, remain organized, and troubleshoot problems as they arise are key to a successful candidate in this role.
- Input in Environmental Impact Assessment/ Strategic Environmental Assessment process, including preparation of Environmental Statements and Planning Applications for all Projects.
Qualification.
- Graduate in Business management or related qualification
- Transport Management Diploma from a certified tertiary institution
- Microsoft packages
- Efficiently communicate both verbally and written form in English and Swahili
Professional Certification
- SAMTRAC Certificate or equivalent , SHERQ
- Valid Driver’s License with proof of insurance.
