Purpose of the Role:

The Storekeeper is responsible for the management of inventory within the store, ensuring the accurate receipt, storage, and issuance of goods. The role requires proficiency in using ERP systems, Excel, and EFRIS (Electronic Fiscal Receipting and Invoicing System) for efficient tracking and reporting of inventory levels, sales, and financial transactions.

Key Responsibilities:

1. Inventory Management:

  • Ensure the store is adequately stocked and goods are stored in an organized manner.
  • Track and record all incoming and outgoing inventory using ERP and Excel.
  • Perform regular stock checks and reconciliations to ensure physical stock matches the ERP records.
  • Maintain accurate and updated records of all stock transactions.

2. Receiving and Issuing Goods:

  • Oversee the receipt of goods and verify them against delivery notes and purchase orders.
  • Properly label and store received goods in appropriate locations.
  • Issue goods from the store as required by the operations or sales team, ensuring that appropriate records are maintained.

3. ERP and EFRIS Use:

  • Utilize the ERP system to record stock levels, track goods movements, and generate inventory reports.
  • Process sales and generate receipts using the EFRIS system in compliance with Uganda Revenue Authority (URA) regulations.
  • Maintain an up-to-date database of all inventory and sales transactions in ERP and Excel for accurate reporting.

4. Documentation and Reporting:

  • Prepare regular reports on stock levels, stock movements, and any discrepancies for the management team.
  • Maintain accurate documentation of inventory transactions, including delivery notes, receipts, and invoices.
  • Generate sales and financial reports using the EFRIS system and provide them for review by finance and accounting departments.

5. Compliance and Audits:

  • Ensure that the store complies with local regulations, including the use of the EFRIS system for invoicing and reporting to URA.
  • Coordinate with auditors during stock audits and provide necessary documentation and reports.
  • Help ensure that all inventory processes comply with internal control procedures.

6. Health and Safety:

  • Maintain a safe and clean working environment in the store, adhering to safety guidelines.
  • Ensure the proper handling and storage of goods to prevent damage and deterioration.

7. Customer Service:

  • Address inquiries related to stock levels, product availability, and pricing in a timely manner.
  • Assist with stock returns and exchanges, ensuring proper documentation.

Requirements:

  • A minimum of a diploma in Business Administration, Logistics, Supply Chain Management, or a related field. A degree is preferred.
  • Proven experience of at least 2-3 years as a storekeeper, warehouse manager, or in a similar role.
  • Experience with ERP systems (e.g., SAP, Tally, or similar software).
  • Proficient in using Microsoft Excel, including creating reports, analyzing data, and using formulas.
  • Knowledge of the Electronic Fiscal Receipting and Invoicing System (EFRIS) used in Uganda for invoicing and reporting to URA.
  • Strong organizational and inventory management skills.
  • Attention to detail and ability to reconcile discrepancies.
  • Strong communication skills for interacting with suppliers, customers, and internal teams.
  • Ability to manage time effectively and prioritize tasks.
  • Familiarity with Ugandan tax laws and EFRIS requirements for business transactions.
  • Understanding of health and safety regulations in the workplace.
