The Senior Registration Officer (Veterinary) reports to the Head of Operations and plays a critical role in maintaining the integrity of veterinary drug storage and monitoring and managing the company's relationship with regulatory agencies. Additionally, the Senior Registration Officer (Veterinary) is responsible for pharmacovigilance, product registration activities, trademark protection, license compliance, and other tasks as assigned by management.

Job Purpose

The Senior Registration Officer (Veterinary) ensures efficient drug procurement and inventory management while adhering to proper drug importation procedures. This role requires effective coordination with the National Drug Authority (NDA) for drug clearance and regulatory compliance. The Senior Registration Officer (Veterinary) reports to the Head of Operations and plays a critical role in maintaining the integrity of veterinary drug storage and monitoring and managing the company's relationship with regulatory agencies. Additionally, the Senior Registration Officer (Veterinary) is responsible for pharmacovigilance, product registration activities, trademark protection, license compliance, and other tasks as assigned by management.

Duties and Responsibilities

• Importation and Drug Clearance:

o Liaise with the National Drug Authority (NDA) to ensure the proper importation of drugs and facilitate timely drug clearance processes.

o Adhere to regulatory requirements and maintain compliance during the importation process.

• Drug Storage Principles:

o Apply appropriate drug storage principles, including temperature control and inventory rotation, to maintain drug quality and integrity.

• Monitoring of VET Drugs in Storage:

o Regularly monitor veterinary drugs in storage to identify expiration, quality, or quantity issues.

o Implement measures to prevent stock discrepancies and ensure accurate inventory records.

• Regulatory Compliance and Updates:

o Monitor and update the company's compliance with the NDA and other relevant regulatory agencies/authorities.

o Stay informed about changes in regulations and ensure timely implementation within the organisation.

• Pharmacovigilance:

o Establish and maintain a pharmacovigilance system to monitor the safety and efficacy of veterinary drugs.

o Report adverse drug reactions or product quality issues to the appropriate authorities.

• Destruction of Expired or Unusable VET Drugs and Materials:

o Safely and responsibly manage the destruction of expired or unusable veterinary drugs and materials in compliance with regulatory guidelines.

• Technical File Review for Product Registration:

o Review technical files for products intended for registration, ensuring they meet regulatory requirements and standards.

• NDA Registration and Field Trials:

o Follow up on NDA registration processes and coordinate field trials for products requiring evaluation.

• Trademark Protection:

o Collaborate with the Trademark Office to safeguard the company's trade names and ensure legal protection.

• License Compliance:

o Ensure all Type C licenses for company outlets are up to date and in compliance with regulatory obligations.

• VET Product Variations:

o Collaborate with management to implement necessary variations to veterinary products following strategic directives.

• Import Verification Certificates/Permits:

o Prepare and submit applications for Import Verification Certificates/permits to the NDA.

• Other Duties:

o Perform any other task assigned by management to support organisational goals and objectives.

Qualifications

• Bachelor's degree in Veterinary Medicine or related field.

• Previous experience in drug procurement, inventory management, and regulatory compliance is highly desirable.

• Knowledge of veterinary drug importation procedures and familiarity with NDA regulations.

• Strong attention to detail and ability to maintain accurate records.

• Excellent organisational and time management skills.

• Effective communication and interpersonal abilities.

• Proficiency in computer applications and database management.

• Ability to work independently and collaboratively in a team environment.
