Job Description/Requirements

Location: Kampala

Financial Management:

  • Develop and monitor the school’s annual budget in consultation with the headteacher and other senior staff.
  • Ensure that income and expenditure are managed effectively and within the approved budget.
  • Provide regular financial reports to the school leadership and governing body.

Tuition Fees and Parent Payments:

  • Oversee the invoicing and collection of school fees, lunches, and extracurricular activity payments.
  • Liaise with parents regarding payment plans, fee structures, and any financial concerns.
  • Ensure accurate records of payments and follow up on any overdue fees.

Payroll and Staff Payments:

  • Manage the payroll for school staff, ensuring that salaries, taxes, and other deductions are processed accurately and on time.
  • Handle staff benefit schemes and ensure compliance with employment and tax regulations.
  • Assist in the recruitment and contract management of temporary or new staff.

Procurement and Purchasing:

  • Oversee procurement of materials, equipment, and services needed for the school.
  • Manage supplier relationships and ensure that purchases are within budget and meet quality standards.
  • Ensure the proper recording and reporting of any school assets.

Financial Reporting and Compliance:

  • Maintain accurate financial records and prepare financial statements and reports as required by the school’s governing body or local authority.
  • Ensure compliance with financial regulations, policies, and laws governing primary school finances.
  • Assist with audits and financial inspections as required.

General Administration:

  • Manage school finances using financial software and spreadsheets.
  • Provide financial advice and support to the headteacher, governing body, and school staff.
  • Assist with the preparation of reports and documents for meetings with parents, governors, and local authorities.

Education: A degree or relevant qualification in finance, accounting, or business administration.

Experience: Previous experience in a financial or administrative role, preferably in a school or educational setting.

Skills:

  • Strong financial management and budgeting skills.
  • Proficiency in accounting software and Microsoft Office, particularly Excel.
  • Attention to detail and excellent organizational skills.
  • Good communication skills to liaise with staff, parents, and external stakeholders.

Knowledge:

  • Understanding of school funding, budgets, and financial regulations.
  • Familiarity with the financial needs and structure of primary schools.

Personal Attributes:

  • Excellent attention to detail and accuracy in financial tasks.
  • Ability to handle sensitive financial information with discretion.
  • Strong organizational and time management skills.
