Job Summary

As a Reception Assistant at Travel Zone Tours, you will be the first point of contact for clients, ensuring an exceptional customer experience. Your role will involve managing the front desk, handling inquiries, coordinating with internal teams, and assisting in daily administrative tasks. You will be a key contributor to creating a welcoming and professional atmosphere for clients and visitors.

Key Responsibilities

1. Front Desk Operations

  • Greet clients and visitors with a friendly and professional demeanor.
  • Answer and direct phone calls and emails to appropriate personnel.
  • Maintain a tidy and organized reception area.

2. Customer Service

  • Provide detailed information about travel packages, services, and promotions.
  • Handle customer inquiries and resolve issues promptly and effectively.
  • Assist clients with bookings, changes, and cancellations.

3. Administrative Support

  • Manage appointment schedules and update the calendar for meetings and bookings.
  • Maintain accurate records of customer interactions and transactions.
  • Assist in the preparation of travel itineraries and documentation.

4. Coordination

  • Liaise with the operations and sales teams to ensure seamless service delivery.
  • Support internal communication and information flow between departments.

5. General Duties

  • Monitor and manage office supplies for the reception area.
  • Adhere to company policies and procedures, ensuring confidentiality where required.
  • Assist with other administrative tasks as assigned by the management.

Key Skills and Competencies

  • Excellent interpersonal and communication skills (verbal and written).
  • Strong organizational and multitasking abilities.
  • Proficient in Microsoft Office Suite and other relevant software.
  • Customer-oriented mindset with problem-solving skills.
  • Ability to work in a fast-paced environment and manage time effectively.

Qualifications and Experience

  • A high school diploma or equivalent (Bachelor’s degree preferred).
  • Prior experience in a receptionist, administrative, or customer service role, ideally in the travel industry.
  • Fluent in English.
