JOB DETAILS:
About the role
The People and Performance Officer plays a critical role in supporting the organization's administrative functions while offering individuals an invaluable opportunity to gain practical insights into HR practices, performance management, and workforce development.
Key responsibilities
Filing and Documentation (40%)
• Creating new personnel files and updating internal databases with new employee information like contact details and employment forms.
• Proper maintenance of employee files and ensuring they are kept up to date
• Assist with gathering staff signed timesheets on a monthly basis
• Leave management support: keeping updated record of staff leave days on the Bamboo HR System.
• Performance Management process support by ensuring that staff performance reports are dully updated on time in the system.
Recruitment Support (10%)
• Assist with smooth induction of new staff by ensuring they receive induction packs and associated information.
• Preparing materials for orientation and sometimes conducting orientations
• Assist in performing Reference and Background checks
General HR Administration and Office Support (40%)
• Providing administrative support across the Hub on all HR/people matters.
• Make requests for any scheduled staff trainings – support logistics and coordination and participate in organizing organisation events
• Supporting logistics for meetings including travel arrangements, accommodation, coordination of attendees
• Support Management with starter forms to include but not limited to ensuring new starters have signed compliance to the Organisation Handbook and the Safety and Security procedure
• Assisting with the implementation of HR policies and Procedures.
• Support with annual Internal audit process
• Take minutes in Internal People meetings as required
• Support the coordination of the Hub Monday Morning Meetings(MMM)
• Scanning and Emailing HR documents.
• Data Entry and general administration support to the People Supporting Officer and wider administrative support team.
• Any other duty that may be assigned by the supervisor
Front Desk Management (5%)
• First point contact for guests and clients who have appointments with staff
• Receive and sort mail and all deliveries to Data Care Offices
• General clerical duties including photocopying, scanning and mailing
• Maintenance of a clean and orderly reception area
• Responsible for evacuation in case of emergencies.
Other duties as required (5%)
• Other duties as required. Occasionally working on weekends, late night in case of volunteer incidents and holidays for which time off in lieu can be taken

Stipend: UGX. 1,911,041 monthly gross
Preferred start date: 1st January 2025
Length of contract: 9 Months
Reports to: Senior Finance and Admin Manager
Expected travel: Occasional domestic travels may be required

Skills and experience
Essential
• Bachelor’s Degree or Diploma in Human Resource Management, Organisation Psychology or any other related discipline.
• Ideal Candidate should not be above 30 years.
• Highly organised person
Desirable
• Familiar with Bamboo HR usage.
• Proficiency in Microsoft Office Suite and data analysis tools is a plus.
• Ability to work independently, manage tasks efficiently, and meet deadlines.
