The Operations and Projects Officer will be responsible for managing and coordinating various operational activities and projects within the organization. They will support the implementation of key initiatives, streamline processes, and ensure efficient resource allocation to achieve business objectives.

Job Description/Requirements

Roles and Responsibilities:

 

  • Plan, coordinate, and execute operational initiatives and projects to support the company's strategic goals and objectives.
  • Develop project plans, timelines, and budgets, and monitor progress against milestones and deliverables.
  • Liaise with internal stakeholders and external partners to gather requirements, define project scope, and allocate resources effectively.
  • Identify and mitigate risks and issues that may impact project timelines, budgets, or quality outcomes.
  • Coordinate cross-functional teams and manage project dependencies to ensure smooth execution and timely completion.
  • Monitor project budgets and expenses, track project costs, and report on financial performance to stakeholders.
  • Develop and maintain project documentation, including project charters, schedules, status reports, and meeting minutes.
  • Facilitate communication and collaboration among project team members, fostering a culture of teamwork and accountability.
  • Support continuous improvement efforts by identifying opportunities to streamline processes, optimize resources, and enhance project outcomes.
  • Provide regular updates and reports on project progress, status, and key performance indicators to senior management and stakeholders.

 

Daily Work Description:

 

  • Coordinate project planning meetings and workshops to gather requirements and define project objectives.
  • Develop detailed project plans, timelines, and resource allocations based on project scope and requirements.
  • Communicate project expectations, roles, and responsibilities to team members and stakeholders.
  • Monitor project progress and track deliverables against timelines and milestones using project management tools.
  • Facilitate regular project status meetings and reviews to assess progress, identify issues, and resolve conflicts.
  • Update project documentation, including project charters, schedules, risk registers, and issue logs, to ensure accuracy and completeness.
  • Collaborate with cross-functional teams to address project dependencies, risks, and resource constraints.
  • Manage project budgets, expenses, and procurement processes in accordance with company policies and procedures.
  • Identify opportunities for process improvements, resource optimization, and efficiency gains to enhance project outcomes and deliverables.
  • Provide support and guidance to project team members, addressing any challenges or concerns they may encounter during project execution.

 

Required Skills:

 

  • Bachelor's degree in business administration, project management, or related field; PMP certification is a plus.
  • Proven experience in project management, operations, or related field, preferably in a technology or startup environment.
  • Strong project management skills, including the ability to plan, execute, and monitor projects from initiation to closure.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Effective communication and interpersonal skills, with the ability to collaborate with diverse stakeholders and build strong working relationships.
  • Analytical and problem-solving abilities, with a focus on identifying root causes and implementing practical solutions.
  • Proficiency in project management tools and software, such as Microsoft Project, or Trello.
  • Knowledge of project management methodologies, frameworks, and best practices.
  • Attention to detail and accuracy, with a commitment to delivering high-quality work within established deadlines.
  • Flexibility and adaptability to changing priorities, deadlines, and business requirements.
  • Commitment to continuous learning and professional development in the field of project management and operations.
