 On behalf of our client EACOP, we are looking for a competentskilled, and experienced OFFICE Receptionist/Client Support to work in Uganda

POSITION IN THE ORGANISATION

Reports to: N+1 : Engineering Manager

 N+2 : EPS Package Manage

 Direct subordinates : none

MISSIONS / JOB DIMENSIONS

The Office Receptionist/Client support will serve as the first point of contact for visitors, clients, and staff, ensuring a professional and welcoming environment. The role includes managing front desk operations, coordinating communication, supporting administrative tasks, and assisting with travel and logistics arrangements

ACTIVITIES

Front Desk & Visitor Management

  • Greet and receive visitors, clients, and staff in a professional and courteous manner.
  • Manage visitor sign-in, registration, and issuance of passes while maintaining updated logs.
  • Direct visitors to the appropriate person or department.
  • Maintain a clean, organized, and presentable reception area.
  • Ensure adherence to company policies and visitor security procedures.

Communication & Customer Service

  • Answer, screen, and forward incoming phone calls.
  • Respond to inquiries via phone, email, and in person.
  •  Ensure clients, callers, and visitors feel supported and valued.

Mail & Deliveries

  • Receive, sort, and distribute incoming mail, packages, and deliveries.

 Administrative & Clerical Support

  • Assist with photocopying, scanning, filing, and data entry.
  • Maintain office supplies inventory and place orders when necessary.
  • Provide administrative support in planning and organizing company engagements and activities.
  •  Prepare folders, brochures, and other company information for distribution to stakeholders

Travel & Logistics Support

  • Provide staff with travel support, and related requirements.
  • Liaise with travel agencies for bookings, payments, and follow-ups.
  • Support staff in processing visas, insurance, and travel documentation.
  • Assist with planning and execution of staff and stakeholder visit/tour schedules.

 

Requirements

QUALIFICATIONS AND REQUIRED EXPERIENCE

  • Strong communication and interpersonal skills.
  • Excellent organizational and multitasking abilities.
  • Proficiency in MS Office and office equipment.
  • Ability to handle confidential information with professionalism.
  • Customer service-oriented with problem-solving skills.
