The Office Manager/Administrator will be responsible for overseeing the daily operations of the Kampala office, including administrative tasks, facility management, and logistical coordination. They will play a key role in ensuring the smooth functioning of the office and supporting the needs of staff and clients.

Job Description/Requirements

Roles and Responsibilities:

  • Manage office facilities and equipment, including maintenance, repairs, and supplies procurement.
  • Coordinate administrative functions such as mail distribution, phone answering, and visitor reception.
  • Organize and schedule meetings, appointments, and travel arrangements for staff and management.
  • Maintain accurate records and documentation, including employee files, contracts, and office expenses.
  • Assist in the recruitment process by posting job openings, scheduling interviews, and coordinating onboarding activities.
  • Handle inquiries and requests from internal and external stakeholders in a timely and professional manner.
  • Prepare reports, presentations, and correspondence for management as needed.
  • Support HR functions such as payroll processing, leave management, and performance appraisal coordination.
  • Ensure compliance with company policies, procedures, and regulatory requirements.
  • Provide general administrative support to the team as required.

Daily Work Description:

  • Open and close the office each day, ensuring that all facilities are in working order.
  • Respond to emails, phone calls, and inquiries from staff, clients, and vendors.
  • Update calendars and schedule appointments for team members.
  • Monitor office supplies inventory and reorder as needed.
  • Assist with event planning and coordination for meetings, workshops, and conferences.
  • Maintain confidentiality of sensitive information and handle it with discretion.
  • Collaborate with other departments to support cross-functional projects and initiatives.
  • Review and process incoming and outgoing correspondence.
  • Keep office spaces organized and presentable at all times.

Required Skills:

  • Proven experience in office administration or management roles.
  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
  • Strong interpersonal and communication abilities, both verbal and written.
  • Proficiency in MS Office applications (Word, Excel, PowerPoint, Outlook) and office management software.
  • Attention to detail and accuracy in record-keeping and documentation.
  • Ability to work independently with minimal supervision and as part of a team.
  • Problem-solving skills and resourcefulness in addressing day-to-day challenges.
  • Flexibility and adaptability to handle changing priorities and unexpected situations.
  • Knowledge of HR processes and procedures is an advantage.
  • Professional demeanor and customer service orientation.
