Background

To ensure the smooth and efficient running of the main office by providing comprehensive administrative support, managing office supplies, and acting as a central point of contact for staff and visitors.

Responsibilities

  • Manage incoming calls, emails, and correspondence, directing them to the appropriate person.
  • Greet and assist visitors, clients, and job applicants in a professional manner.
  • Maintain office supplies inventory by checking stock and placing orders.
  • Assist in organizing meetings, appointments, and travel arrangements for staff.
  • Prepare and distribute internal communications, memos, and letters.
  • Maintain and update filing systems (both physical and electronic).
  • Assist the HR and Finance departments with basic data entry and record-keeping.
  • Ensure the general office environment is clean, organized, and well-maintained.

Qualifications & Skills

  • Diploma in Business Administration, Secretarial Studies, or a related field.
  • Minimum 2 years of experience in an office administration or receptionist role.
  • Proficiency in MS Office Suite (Word, Excel, Outlook).
  • Excellent organizational and multitasking abilities.
  • Strong written and verbal communication skills.
  • Professional demeanor and high level of discretion.
