Role overview
The Lubes & LPG warehouse coordinator is responsible for effective stewardship of the Warehouse operations to ensure flawless and efficient receipt, storage, loading trucks and order-fulfillment of high-quality packaged lubricants and LPG to meet customer requirements at the Terminal. Activities

BASIC FUNCTIONS
• To support the business needs and exceed business growth targets through optimal utilization of equipment and helping develop the Staff for increased productivity and increased profitability for the Company.
• Manage the Terminal to meet Company business demands.

PRINCIPAL ACCOUNTABILITIES
SHEMS / HSSE RESPONSIBILITY
• Participate and Support Terminal Manager to Chair Terminal monthly SHEMS / HSSE meetings and follow up for action items to ensure closure
• Participate and support Terminal Manager to Steward SHEMS Implementation for Terminal

• Follow up closure of high-risk operations from risk assessments

• Ensure full enforcement of Work Control Procedures for all works in the terminal (Lubricants)
• Review monthly HSSE data reported to Head Office
• Ensure all safety incidents are reported, investigated exhaustively and closed out
• Continue to drive safety as the overriding priority to all employees and contractors
• Terminal Emergency Response Assistant Commander.
• Firefighting equipment is maintained in proper working condition
• Carry out safety inductions for all staff , visitors and contractors

• Participate and Support Terminal manager carry out weekly tool box talks for the
• plant and prepare report to the SHE Manager
• Participate and Support Terminal Manager Carry out monthly SHE meetings and Drills for the plant and prepare report to the SHE Manager
• Carry out site inspections, Security inspections and risk assessments for the site and report to SHE Manager
DISTRIBUTION/OPERATIONS -LUBRICANTS
• Liaise with Terminal Manager and Security to ensure that all trucks entering terminal are inspected for compliance with standards.
• Safe offloading, storing and Stacking (as per FIFO)of lubricants at the plant and in line with offloading , storing and stacking procedures with zero variances and the corresponding documentation i.e. ware house documents , customs and loading depot.

• Safe loading and dispatch of the lubricants in line with loading and dispatch procedures with zero variances and the corresponding documentation from the customer service i.e. invoices.
• Daily and timely reconciliation of lubricants warehouse and Monthly stock taking adhering to Libya Oil Uganda Inventory Control Management Procedures, share daily reports to the stocks to the Operations Manager through stocks controller with explanation of the variances.

• Identifying all slow movers (No of sales from 6 months to 12 months) dead stock (no of sales more than 12 months) for Lubes products and advice sales team.
• Follow up on Trainings for the different types of lubricants supplied by Libya oil Uganda to the subordinates
• Coordination with customer desk for customer orders and ensure timely deliveries and achieving customer delivery KPIs

• Follow up with damaged products during receipt and issuance with responsible personal i.e. driver, manufacturer or customer.
• Liaise with Customer Service to ensure business interests are served efficiently and record customer complaints
• Follow up with Lubricants handling procedures and update
MAINTENANCE & REPAIRS
• Follow up with Terminal equipment maintenance plan
• Ensure repair works are done according to ACL guidelines

• Daily site inspection and reporting of any defaults to the Engineering Manager
• Supervision of maintenance and engineering works on-going at the plant

• Compiling engineering reports for on-going projects
• Training and induction of contractors
SECURITY
• Ensure Terminal security is kept whole in close liaison with Guards, plant walkabouts and random checks especially over the weekends.
ADMINISTRATION
• Ensure Terminal has all current operating and trade licenses
• Liaise with HR / PA Dept. on issues related to terminal staff/Operatives.

• Carry out annual appraisals for all terminal staff/Operatives
• Steward Terminal operating expenses to ensure budget control with possible reductions.
STOCK ACCOUNTING
• Sustain Product Control Guidelines (PCG) requirements in stock accounting - dailystock report

JOB DESCRIPTION
• Daily and timely reconciliation of Lubricants and share report to the Operations Manager through stocks controller and clear explanations for the variances aadhering to Libya Oil Uganda Inventory control Management Procedures.
• Investigate product variation thoroughly and promptly
• Ensure monthly book to Physical reconciliations are done timely and all outstanding items booked on time.
• Hold monthly stock loss meetings and submit report to Head Office
• Attend Head office Oil loss committee meetings to explain oil loss performance.
FINANCE AND PEOPLE MANAGEMENT
• Manage Operation costs /Advances in line with requirements and within budget
• Consolidate all expenses and share to the Operations Manager
• Ensure no overtime always unless approved by management for operatives
• Ensure that any Depot Operatives has a Job description that reflects the expectations of the management about the position held
• Ensure, at the beginning of the year, that Depot Operatives have been assigned challenging goals and that they are aware of the management expectations, along with set deadlines
• Provide guidance to direct reports, mentor and coach them when necessary
• Ensure that the Operatives provided with the relevant training and materials needed to perform their job effectively and efficiently, in line with their job descriptions
• Monitor performance and give feedback and appraisal reviews on a regular basis to ensure that performance objectives are met
• Hold regular meetings with the Operatives in order to strengthen the social climate; and to improve effectiveness and efficiency at work and manage their complaints
• Promote effective communication on all levels of the organization within the company.
• Always have proper schedules to manage Operatives leave days and communicate to HR.

Qualification:
• University Degree in Mechanical Engineering.
Experience:
• One years’ experience in Terminal Operations
• Experience with Office 365 (Outlook, Microsoft teams)
• Experience with remote collaboration and management
• Experience in an ERP systems

• Strong communication and interpersonal skills.
• High degree of professional ethics and integrity
• Strong written & spoken English language
• Willingness to Learn
• Basic Computer Skills in Excel and Word
