Job Summary
Under the supervision of the Human Resource Manager, the Human Resource Assistant is responsible for providing support to all Human Resources functions. This will include rolling out FH’s HR Operating Policies and Procedures, which cover recruitment, orientation, compensation, staff insurance, leave management, professional development, performance management, and exit management.
The HR Assistant performs a variety of clerical duties related to the HR functions. This includes maintenance of personnel records and other HR administrative roles.
Principal Responsibilities
HR Administration and Support
• Maintain and keep staffing lists for all categories of workforce (employees, temporary employees, volunteers, interns, etc.) and any staff-related necessary information for rapid access and use.
• Maintain personnel files accurately, updated, and confidential at all times.
• Prepare and process HR paperwork for all workforce categories accurately and in compliance with policies and local laws.
• Respond to routine employee inquiries to ensure accurate and timely provision of information.
• Manage timesheet submission and attendance records.
• Timely submission of payroll information for processing.
Performance Management and Staff Development
• Ensure staff set objectives at the beginning of probation and annually.
• Send contract renewal reminders and track performance periods.
• Compile staff development needs from performance appraisals.
• Maintain updated lists of employees who received training.
Records Management and Administration
• Maintain personnel files and records.
• Process and file staff documents.
• Support monthly leave reporting and update leave records.
• Ensure compliance with administrative formalities like social security and medical insurance registration.
Recruitment, Orientation, and Training Support
• Administer the recruitment process, including receiving applications, contacting candidates, and facilitating tests/interviews.
• Assist in arranging and conducting HR learning events, workshops, and team-building activities.
• Support onboarding and transition processes for new or transferred staff.
Benefits Management
• Manage staff insurance and claims processing.
• Ensure timely processing of provident fund for exiting staff.
Leave Management
• Manage staff leave through the HR system.
• Prepare HR metrics reports and ensure adherence to leave plans.
Job Level Specifications
• Vibrant personal relationship with Christ.
• Proven skills in administration and human resources management.
• Good organizational and communication skills.
• Proficient in MS Office, internet, and office applications.
• Demonstrated ability to work in multicultural environments and build effective relationships.
Experience:
• 3 years of progressive administrative and HR experience, preferably with an INGO or in a busy work environment with high responsibility.
Education/Certifications:
• Bachelor’s degree in Human Resource Management, Industrial and Organizational Psychology, Social Sciences, or a related field.
• Postgraduate Diploma in Human Resource Management (MUST).
Language:
• Proficiency in spoken and written English.
