JOB DETAILS:
The Hospital Administrator (HA) is a manager with the task of overseeing the general functioning of the Hospital facility.The responsibilities of the Hospital Administrator include, resource planning, budgeting, ensuring safety of facilities, purchasing, policy development and communicating with stakeholders.
The Hospital Administrator is member of the Hospital Management Team (HMT) and of the hospital committees where s/he is delegated or holds statutory membership
GENERAL JOB RESPONSIBILITIES
Managing staff: HA supervises and manages performance of the following staff and their teams: procurement manager, workshop manager, Transport, Administration staff, Central Stores Manager, Security Officer and the Laundry Manager.
Procurement: While working with a competent and qualified team, the HA ensures that the hospital obtains value for money in its procurements by exercising oversight on the procurement systems across the entire organization.
Hospital Secretary: The HA acts as company Secretary in as far as he maintains all documentation for legal reference and ensures their proper archival.
The HA works with the Board minute Secretary to execute the role of Board Secretary that includes preparation, distribution, and storage of Board documents and the scheduling/notifying of Board meetings as stipulated in the Hospital Charter
Contracts Management: Ensuring that all contracts signed by the hospital are well managed compliant and aligned to the organization's goals
In collaboration with the Accounts section, the hospital Administrator, oversees and ensures effective financial management, accounting, budgeting, cash flow, procurement compliance, and reporting for the hospital in line with legal, policy, and donor requirements, safeguards assets, coordinates audits, maintains financial control systems, and advises management on cost trends, forecasts, and strategic financial decisions to support efficient and transparent hospital operations.
QUALIFICATIONS, SKILLS AND EXPERIENCE
B Com, BBA, or Bachelor’s degree in management field Postgraduate training in specific areas of management is of added advantage. Experience of at least five years working experience in operations or junior managerial post in a hospital or other health service
Advanced computer literacy in word processors and spreadsheets
REQUIRED JOB SPECIFIC COMPETENCIES
The Hospital Administrator’s role is a dynamic role set in a volatile, uncertain, complex and ambiguous environment and requires the office bearer to maintain a constant information flow, anticipate and be ready to respond at all times.
It requires full time availability and familiarity with available resources
One ought to have several coping mechanisms and a strategy for work-life balance
Physical, high level of accuracy is required and ability to work long hours with minimum supervision.
Mental, working to strict deadlines, responding to unpredictable work patterns/emergencies.
Emotional and able to handle difficult situations with a sympathetic approach. Strong planning and organization skills, including the ability to plan one's daily workload through effective time management.
