JOB DETAILS:
The position
The Head of Operations will oversee and guide the work of the Facilities, Procurement, IT and Security at Aga Khan Education Services, Uganda and will ensure the efficient day-to-day operations, policy and procedure development, and strategic directions for these departments.

Responsibilities
Facilities
• Establish a routine repairs and maintenance program for all the facilities at AKES Uganda.
• Provide oversight, project management and quality assurance for major refurbishment and construction projects at AKES,U.

• Establish a fair bid and selection process for contractors and ensure high-quality suppliers are selected for all projects after rigorous vetting.
• Ensure best value-for-money is obtained in repairs and maintenance for all procurement of repair parts, labor and construction projects

• Oversee the management of outsourced facilities services such as cleaning, gardening, pest control, etc.

Procurement
• Ensure that all staff are trained in, and follow, the new procurement policy and procedures
• Guide and monitor procurement staff to ensure suppliers are thoroughly vetted and that best value-for-money is obtained for procurement efforts

• Ensure the Approved Vendor List is updated on an annual basis and a thorough Know-your-customer check is conducted

• Ensure vigilance on prevention of fraud and kickbacks in the procurement process at all levels in the company

Information Technology
• Establish a routine repairs and maintenance program for all IT equipment at AKES Uganda
• Guide the replenishment of IT equipment and any expansion or upgrades necessary in the network and internet service

• Implement cybersecurity systems and processes at AKES Uganda
• Lead the implementation, training and use of globally-mandated software services such as FIS, HRIS and SIS
• Support technology integration of other administrative process and in teaching and learning

Security
• Train security personnel in approved Standard Operating Procedures and ensure these SOPs are followed
• Ensure incident reporting procedures are in place and all staff and students understand what to do in emergency situation
• Ensure proper fire safety equipment and procedures are in place at all schools
• Ensure proper security equipment is in place and security procedures are followed for all school events and school trips.

The requirements
• The successful candidate will have an MBA; background and qualifications in Finance and Accounting will be beneficial.
• S/he will have worked in an educational setting in international schools, will have strong inter-personal and communication skills, as well as cultural awareness and sensitivity.
• Experience managing and guiding new facilities projects as well as managing routines facilities works,
• Good knowledge of IT network infrastructure and current trends in educational technology,
• Experience and knowledge of Human Resource management and policies,
• Able to guide procurement for cost-efficiencies and timely turn-around.
• Fluent in written and verbal communication in English.
• Proven record in managing day-to-day operations and implementing systems and processes for improvement in these departments.
