Job Summary: The Front Desk Receptionist / Guest Relations Officer is the first point of contact for our guests and is responsible for creating a warm, welcoming, and professional atmosphere. This role ensures a seamless guest experience from arrival to departure by handling check-ins/check-outs, managing reservations, and resolving inquiries or complaints with the utmost diplomacy and efficiency.
Key Duties and Responsibilities:
- Guest Arrival & Departure: Efficiently process guest check-ins and check-outs, ensuring all documentation is complete and accurate. Assign rooms based on guest preferences and availability.
- Reservations Management: Handle booking inquiries via phone, email, and in-person. Manage and update reservations in the Property Management System (PMS).
- Guest Services: Provide information about hotel facilities, local attractions, and dining options. Arrange transportation, tours, and special requests (e.g., flowers, cakes).
- Financial Handling: Process payments, manage cash floats, and ensure billing accuracy. Handle foreign currency exchange if applicable.
- Problem Resolution: Act as the primary point of contact for guest complaints or issues, resolving them promptly and escalating to management when necessary.
- Communication: Relay important information to other departments (e.g., housekeeping for early check-ins, engineering for maintenance issues).
- Lobby Presence: Maintain a professional and polished presence in the lobby, greeting guests and assisting with luggage or directions as needed.
Qualifications, Skills and Experience:
- Education: High school diploma required; Bachelor’s degree in Hospitality Management preferred.
- Experience: Minimum 1-2 years of experience in a front desk or customer service role, preferably in a hotel.
- Skills: Excellent verbal and written communication skills. Proficiency in PMS software (e.g., Opera, Fidelio) and Microsoft Office Suite. Strong numerical aptitude.
- Attributes: Professional appearance, charismatic personality, ability to multitask in a fast-paced environment, and a genuine passion for hospitality.
- Flexibility to work shifts, weekends, and holidays.
