Job Summary: The Front Desk Assistant will perform front office, administrative support and secretarial services in support of the PSI/PACE Country Office operations.
Key Duties and Responsibilities:
- Receive, sort, sign for packages and distribute mail, internal communications and correspondence within PSI/PACE to appropriate persons and process all mail and deliveries outside PSI/PACE.
- Provide administrative and clerical support to the Administration and Travel Officer as and when required.
- Ensure professional front office support for visitors and staff.
- Manages front office switch board and transfer calls as necessary.
- Responsible for maintaining a clean, conducive and tidy reception area.
- Notify officers on visitor arrivals, direct and allow access to those on appointments and issue appointments as necessary.
- Receive and record all internship and job applications including unsolicited ones and pass them on to the People and Culture Department.
- Manage filling for all documents going through the reception and ensure utmost confidentiality.
- Responsible for reception security and notifying focal persons on any suspicions.
- Compile calendars for key events and notify responsible persons in a timely manner.
- Follow up on meeting invitations for respective staff and notify / remind them accordingly.
- Any other duties as may be assigned from time to time.
Qualifications, Skills and Experience:
- The applicant must hold a Degree in Business Administration, Office Management, Public Relations, Humanities or any other related degree.
- At least three years of experience in office management with a particular training in front desk
- and customer care management in a busy local or international organization.
