JOB DETAILS:
Rootical business builder powers purpose driven entrepreneurs in Uganda to build and own their
regenerative agri-food businesses, which accelerate smallholder farmer’s transition to regenerative agriculture.

We are currently building 4 agri-food businesses actively, these are;

1. Eden seeds, a farmer owned seed brand that is providing access to quality indigenous seeds;
2. Ecologic is working through farmer village agents to provide access to high quality, affordable organic inputs;

3. Guarding Fresh is innovating a natural shelf life extension solution for fruits and vegetables and

4. Regen Harvests is providing a Cash Advance Payment to farmers while aggregating their produce for processors.
The businesses are not yet registered and still in the piloting phase of their business models however we would like to already build a robust accounting system and adherence to the governing laws of Uganda.

Scope of Work
To improve Rootical’s Portfolio companies’ Financial Management and Reporting systems, we are looking for an expert to review their existing financial management system and reporting systems, train and work with our Startup studio officer to ensure they are i) able to effectively use the system, ii) generate and interpret reports as well as facilitate decision making and iii) continuously support the businesses after the consulting period.

Skills and Required Experience
We are seeking a service provider who:
1. Excellent knowledge of accounting regulations and procedures, including the Generally Accepted Accounting Principles (GAAP)
2. Hands-on experience with accounting softwares preferably QuickBooks and CashBook

3. Strong attention to detail and good analytical skills
4. Business Acumen - Ability to understand how a business operates and makes money
5. Analytical skills - Ability to collect, gather, visualize and analyze information in detail and see a problem or situation from different points of view

6. Technology Savvy - Ability to use a computer and online tools to support effective delivery tasks, including but not limited to Google Drive, Microsoft Word, Microsoft Excel, Microsoft Powerpoint and Email
7. Effective Communication Skills - Ability to communicate precisely and timely

Request for Proposals
SHONA invites proposals from qualified individuals or agencies to provide the services specified above.

Proposals should include:
• Proposal Outline: Detailed approach and understanding of the project.
• Team Details: Names and qualifications of personnel who will be involved.

• Budget Estimate: Detailed quote including any travel expenses and taxes.
• Proposal documents should be as concise as possible and not exceed a total of 3 pages (excluding annexes). Proposals exceeding this limit may be disqualified.

Deliverables
The provider is expected to deliver the following services:
• To ensure a functional and efficient set-up and use of the Accounting system
• Set up and guide the proper capture and entry of the clients’ financial data in the system.
• Guide the businesses and the Startup studio officer on how to efficiently use the CashBook or QuickBooks software based on the portfolio companies’ business model
• Establish a financial system that is specific and appropriate for the businesses to produce the following:

a. Chart of accounts appropriately coded
b. Categorise the revenue into different streams and assign a cost of sale to each stream
c. Journal entries and adjustments for accruals & prepayments
d. Statement of account and adjustments for resource owners
e. Receipts and payments report
f. Fund balance accounting & change in net assets
g. Fixed asset register
h. Cash Flow statements
i. Balance sheet
j. Other financial reports as may be required
k. Manage inventory
l. To support Rootical's Startup studio officer in set up of the platform
m. Managing CashBook or Quickbooks files
n. Backing up CashBook or QuickBooks files
o. Restoring CashBook or QuickBooks files
p. Customising reports to suit management needs and recommendations

The service provider is expected to highlight other critical areas in addition to the ones highlighted above that they may identify during their review of the business’ accounting systems.

Kindly attach a price quotation for the project. The service provider is requested to include tax in the
proposed price structure.
Payments shall be made after the completion of the engagement and submission of the final report.
Basis of award
The general quality of the Expression of interest and capability statement, i.e.
1. Completeness and precision and How well it reflects the TOR.
2. Working style of the expert or coach.
3. Language (clarity and intelligibility).
4. Relevant experience of the consultant.
5. Availability and time.
6. Cost.
