Action in Africa (AIA) is undergoing rapid growth, marking a pivotal moment in its history. In response to increased growth and funding comes an increased responsibility for proper stewardship of donor funds, which is why we are expanding our finance department to include additional layers of support and accountability.

Job Summary

The Finance Assistant will be responsible for processing and recording financial transactions, ensuring the accuracy of the books of accounts. He/She will support the preparation of financial reports that comply with approved accounting standards and AIA policies and procedures.

Reports to: Finance Manager

Key Responsibilities:

  1. Ensure the integrity of AiA’s general ledger by accurately recording all financial transactions, including payments, petty cash, and revenue, through accurate data entry in the organization’s accounting system (QuickBooks Online), and by ensuring all expenditures are correctly posted under the appropriate accounting codes
  2. Entering payments into the online banking portal for review and authorization by the Finance Manager
  3. Guide bookkeeping including Accounts Receivable, Accounts Payable, bank reconciliations, and general ledger.
  4. Maintain and manage the archiving of financial documents e.g., receipts, requisitions, vendor invoices and other documents to safeguard financial records and audit trails.
  5. Disburse petty cash while ensuring compliance with AiA policies and procedures and that petty cash is replenished as and when instructed.
  6. Notify the Finance Manager of any errors and contribute to resolving accounting discrepancies.
  7. Perform physical verification of Assets at least once per year or whenever required to ensure that all assets are accurately recorded.
  8. Assist in ensuring vendor/supplier information in the organization’s banking system is accurate and used properly.
  9. Support the budget development process that takes place annually.
  10. Together with the Finance Manager, develop a robust budget expenditure tracking process to guide program managers.
  11. Ensure the accurate calculation and timely remittance of statutory obligations (such as NSSF, URA, and other taxes) to the relevant authorities.
  12. Assist the Finance Manager in the preparation of tax returns, keeping proper tax documentation, and organizing documents required for tax audits.
  13. Assist the Finance Manager in all efforts to strengthen internal financial controls, policies, and procedures.

Any other duties as and when assigned by the supervisor.

REQUIREMENTS

  • Minimum of a Bachelor's Degree in Finance/Accounting or a related field
  • Minimum of 3 years experience
  • Written and spoken fluency in English; working proficiency in Luganda.
  • Extensive knowledge of Quickbooks Online
  • Experience working in Google Drive or similar file-sharing applications; enthusiasm and ability to quickly learn new software applications such as Monday.com
  • Excellent communication and people skills as well as a strong sense of professionalism
  • Time management skills and ability to consistently and efficiently meet deadlines
  • Integrity and accountability; strong adherence to ethics and professional standards; ability to maintain strict confidentiality
  • Excellent attention to detail
