What We Are Looking for:

The Finance and Admin Associate, who is dynamic, self-motivated and excited to work on key finance and admin functions, tasks and responsibilities in direct coordination with the Senior Finance Manager. S/he will support the company’s financial transactions, which include but are not limited to accounts payable and receivable functions to include, the processing of invoices, expenditures monitoring and financial reporting, bank reconciliation and account analysis, preparation and processing of local tax returns and budget monitoring

The Finance and Admin Associate will ensure all financial records are accurate and up to date and will be responsible for efficiently managing and maintaining inventory levels within the company. S/he will play a crucial role in ensuring accurate stock levels, tracking inventory movement, and maintaining organized storage areas and will work closely with other team members, such as purchasing, logistics, and, to support smooth operations and ensure the availability of products or materials.

Position Responsibilities and Duties: 

  • Handling day to day accounting transactions
  • Ensure the maintenance of accurate records of financial transactions of the both office and field staff
  • Monitor and account for Company’s Inventory, materials, equipment, and stock;
  • Regularly update and maintain accurate inventory records using manual & electronic systems.
  • Assist in budgeting and forecasting inventory needs based on historical data, sales trends, and upcoming promotions or events.
  • Generate reports on inventory levels, stock movement, and product performance.
  • Identify and investigate inventory discrepancies, ensuring timely resolution.
  • Provide insights and recommendations to optimize inventory control processes and reduce costs.
  • Prepare performance reports, final accounts, and monthly financial management reports;
  • Review inventory movement logs and report any anomalies identified to the F&A Manager for appropriate action.
  • Maintain accounting controls by preparing and recommending policies and procedures;
  • Reconcile financial discrepancies by collecting and analyzing account information;
  • Secure financial information by completing database backups;
  • Maintain financial security by following internal controls; and
  • Prepare payments by verifying documentation, and requesting disbursements.
  • Coordinate with other departments to ensure stock availability aligns with production schedules or customer demands.

Key Qualifications:

  • Bachelor’s degree in accounting and finance, Procurement & Logistics or any equivalent;
  • Proven working experience as an accountant or in a relevant field for a minimum of 3 years.
  • Prior experience in inventory management or related roles is preferred.
  • Thorough knowledge of GAAP and corporate finance principles and procedures;
  • Excellent Computer literacy in accounting packages, Microsoft applications and Taxation systems like EFRIS among others.
  • Proficient in using inventory management software or systems.
  • Strong attention to detail and accuracy in record-keeping.
  • Excellent organizational and time management skills.
  • Ability to work independently as well as part of a team.
  • Good communication and interpersonal skills.
