Duty Station: Kampala, Uganda
Reports To: East Africa Finance Manager
About Organisation:
The International Crane Foundation has a local entity in Uganda that is dedicated to conservation of the landscape in Uganda and the preservation of the Grey Crowned Crane. ICF works closely with local communities to accomplish this mission.
Job Summary: We are looking for a dynamic, committed and detail-orientated person to fill the role of Financial and Administrative Assistant for our office in Kampala. The person will assist with the financial management, travel planning and the fulfillment of administration requirements for the office and for our field-based projects in Uganda. They will work in very close collaboration with others in the East Africa region and with the financial, governance and administrative staff at both the ICF headquarters in the USA and the EWT headquarters in South Africa.
Key Duties and Responsibilities:
Finance
- Review accountabilities from Uganda programme and other staff for advances in CONCUR system.
- Review allocations from Uganda programme and other staff for credit card accountabilities in CONCUR system.
- Support the East Africa Finance Manager in developing/reviewing monthly financial reports for the Uganda and East Africa Regional programmes.
- Support the East Africa Finance Manager in developing/reviewing donor financial reports for the Uganda and East Africa Regional programmes.
- Receive and process financial requests from Uganda programme staff.
- Initiate weekly payment runs/mobile money payments on the ICF Uganda bank digital platform.
- Make direct mobile money payments upon request.
- Monitor fuel card portal to ensure the deductions correspond to the receipts.
- File monthly tax and other statutory returns with guidance from East Africa Finance Manager.
- Bank refunds from unused staff advances upon request.
Administration
- Obtain quotations for purchases above one million Uganda shillings
- and prepare a complete set of summary bid analysis documents.
- Requisition funds and use said funds for purchase of office supplies.
- Maintain the asset register (in collaboration with ICF South Africa personnel) and related insurance records
- Purchase airtime and data as required by staff.
- File documents for all payments and accountabilities made.
- Collect receipts from suppliers after a payment is made.
- Scanning and printing of office documents.
- Supporting staff visitors from outside Uganda while in Kampala office, with accommodation, logistics and errands.
- Minute taking at relevant meetings.
- Any other duties as instructed by management.
- A bachelor’s degree in Accountancy or Business Administration
- A minimum of level two of ACCA or CPA is desirable.
- At least 2 years’ experience working with an international NGO in a similar position is desirable
- An understanding or proficiency in any accounting package would be an advantage.
- Proficiency in Microsoft Office suite of programmes, including at least Word and Excel.
- Good command of oral and written English.
- Experience with office equipment and general administration.
- Experience with travel planning and workshop / meeting organisation would be an advantage.
- Excellent attention to detail and thoroughness.
- Good time management skills.
- Strong interpersonal skills.
- Ability to maintain confidential information.
