Job Description/Requirements

Location/ Station: Kampala, Kigumba, Nwoya

Job Purpose:

Oversee the accounting and reporting functions by ensuring accurate bookkeeping through adequate and continuous improvement of processes and controls that result in timely month-end closure and monthly management account reporting.

Immediate supervisor: Controller

Dotted reporting lines: CFO

Headcount supervised: 1 – 4

Assets controlled: Laptop Computer, Phone

Cross-functional: Jobholder collaborates with all

departments. Works closely and in collaboration with F&PA, Accounting, and liquidity managers.

Background & Scope of duties:

The scope of this job entails supervising accounting staff (accounts assistants); ensuring financial controls are strictly observed, facilitating timely and accurate preparation of financial statements through an effective, efficient, and consistent month-end and other period-end financial closures.

MAIN RESPONSIBILITIES

Accounting

  • Maintain the chart of accounts and chart of accounts definitions, and accounting policies. Contribute to the continuous improvements of the accounting team.
  • Ensure the completeness of inter-company transactions and balances across the group structure.
  • Ensure (drive the discipline) that the memo quality of the transactions posted is as per the memo quality guidelines and transactions are posted in the correct chart of accounts as per the chart of accounts definitions and other details such as classes, locations etc. are accurate, done timely and complete.
  • Drive compliance of weekly deliverables (including reports and reconciliations) of accounts assistants by reviewing and signing off their work and providing feedback and guidance as needed.
  • Completing journal entries and overall responsibility for GL accounting, including but not limited to prepayments, accruals and provisions etc.

Stock

  • Develop and manage the month-end stock count schedule and ensure adherence to the company’s stock count policies and procedures. This should be for all stock, including grain, agro-inputs, fuel and other stock items (e.g. silo bags, lubes etc.)
  • Ensure the utilization of standardized template tools for the counts and reconciliations by the team.
  • Investigate and resolve any discrepancies with the grain-handling and stores team identified during the counts and prepare stock count results to report to management.

Month-end closure

  • Develop, maintain, update, and manage the month-end closing calendar and checklist, ensuring that all tasks are completed on time and a completed checklist is included in the key account file.
  • Supervise the preparation and posting of month-end journal entries, including accruals, prepayment amortization, depreciation etc.
  • Ensure that all balance sheet accounts are reconciled, and discrepancies are resolved promptly
  • Ensure that intercompany transactions and eliminations are accurately recorded and reconciled.
  • Ensure that the payroll journal has been posted

Reporting

  • Produce the accurate and complete monthly key accounts every month by the deadline and present the same to management, addressing and closing comments raised therein prior to publishing of the consolidated financial statements.
  • Publish accurate and complete consolidated financial statements for the group every month by the deadline.

Fixed Assets management

  • Ensure accuracy and completeness of the fixed assets register by conducting regular fixed assets verification exercises
  • Review the computation and posting of depreciation on a monthly basis to ensure accuracy and compliance to the fixed assets and capitalization policy.
  • Maintain a fixed assets movement schedule and ensure that this reconciles to the trial balance figures on a quarterly basis and at the end of the year.
  • Drive compliance of the fixed assets and capitalization policy as part of the overall accounting policy.

Year end financial statements audit

  • Coordinate and manage the preparation and submission of financial statements for external audits
  • Serve as the primary liaison with external auditors to facilitate the audit process
  • Ensure all audit requests are addressed promptly and accurately

Internal Controls and Compliance:

  • Develop and implement robust internal control systems to safeguard the organization’s assets.
  • Ensure compliance with financial policies, procedures, and regulatory requirements.

Leadership and supervision

  • Provide effective leadership, direction, and guidance to the finance team.
  • Set clear performance expectations and goals for team members and conduct regular performance evaluations.
  • Mentor and develop team members, fostering a positive and growth-oriented work environment.
  • Ensure optimal staffing levels and facilitate training and professional development opportunities for the team

Other

  • Other tasks as may be required from time to time to support the Controller

REQUIREMENTS

Qualifications

  • Bachelor’s degree in Accounting, Finance, Business
  • Administration, or a related field.
  • CPA, ACCA, or equivalent qualification (completed)

Experience

  • Minimum of 5 years of relevant experience in an accounting role.
  • Minimum 2 years of Management/Supervisory experience
  • Experience working with financial ERPs or accounting software (e.g., QuickBooks, SAP, Tally, Odoo).

Business Understanding / Knowledge

  • Strong understanding of accounting principles and statutory compliance in Uganda.
  • Working knowledge of URA systems, including EFRIS, is highly desirable.
  • Strong attention to detail and accuracy.
  • Ability to analyze financial data and prepare reports.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • High level of integrity and confidentiality.
  • Ability to work under pressure and meet tight deadlines.
  • Proactive and solution-oriented mindset.

  • Office-based in Kampala for 2 weeks per month
  • Office-based in Nwoya or Kigumba for another 2 weeks/month with frequent field visits to operational sites.
  • Occasional extended working hours during month-end, tax filing deadlines, and audits.
  • May require travel to warehouse or stock locations for physical verifications.
