Title: Executive Assistant
Available vacancies: Two(2)
Reports to: Human Resource Officer
Department: Administration
Duty Station: Kampala
Travel Required: Yes – 35%

Description;
The Administrative Assistant provides logistical and administrative support to the Kampala office and field team. S/he will also assist with office and projects documentation. The incumbent will be an important part of the team and will gain exposure to a wide variety of stakeholders and partners.

Summary;
The Administrative Assistant provides logistical and administrative support to the Kampala office and field team. S/he will also assist with office and projects documentation. The incumbent will be an important part of the team and will gain exposure to a wide variety of stakeholders and partners.

Key Duties and Responsibilities;
• Support the day-to-day functioning of the Kampala office and the field team. Assist in documentation of administrative and activity reports and maintaining timely flow-through of expense reporting.
• Answer incoming inquiries and process incoming and outgoing mail Provides meeting support and logistics.
• Coordinate office activities and operations including managing appointment calendars and preparation of presentations and reports.
• Assist with travel planning and preparation for individual team members. Maintain contact lists and validate email list-serve for project key contacts and beneficiaries.

Qualifications and experience;
• Bachelor’s degree in Social Works and Social Administration, Social Sciences, Business Administration, Secretarial Studies or related field.
• Excellent communication skills (developing correspondence, presentations, etc.) across multiple levels of the organization.
• Ability to work independently with minimal supervision and to maintain confidentiality and a high level of discretion.
• Strong organizational skills and the ability to prioritize workload, meet deadlines and perform multiple tasks with attention to detail required.
• DTeam player, self-starter, sense of humor and ability to contribute to a strong and friendly working environment.
• Ability to develop relationships with multiple stakeholders, manage time effectively and negotiate deadlines.
