Role Overview
We are seeking a superstar Executive Assistant to provide high-level support to the Co-founder. This role is pivotal in ensuring the Director operates efficiently and effectively while advancing the organization's strategic priorities.
Key Responsibilities
1. Executive Support:
o Manage the COO’s schedule, calendar, and appointments, ensuring seamless time management.
o Organize and coordinate meetings, including preparing agendas, presentations, and minutes.
o Handle confidential and sensitive information with discretion and professionalism.
2. Administrative Excellence:
o Act as the first point of contact for the COO, managing communications (emails, calls, and correspondence) with a high degree of accuracy and timeliness.
o Prepare reports, proposals, and other documents as required.
o Oversee the COO’s travel arrangements, including flights, accommodations, and itineraries.
3. Project Management:
o Assist in tracking and monitoring key projects, ensuring deadlines and deliverables are met.
o Liaise with internal teams and external stakeholders to ensure alignment and progress on strategic initiatives.
4. Operational Efficiency:
o Proactively identify opportunities to optimize processes and streamline the COO’s workload.
o Maintain and organize files, records, and databases to ensure easy access to important information.
5. Relationship Management:
o Build and maintain strong relationships with internal and external stakeholders on behalf of the COO.
o Represent the COO professionally in interactions and communications.
Qualifications
To thrive in this role, you should have:
• Experience: At least 5 years of experience as an Executive Assistant, preferably supporting senior executives in a fast-paced environment.
• Education: Bachelor’s degree in Business Administration, Communications, or a related field (preferred).
• Skills:
o Exceptional organizational and time-management skills.
o Strong written and verbal communication abilities.
o Proficiency in office tools like Microsoft Office Suite, Google Workspace, and project management software.
o Ability to multitask, prioritize, and adapt to changing priorities.
o High level of professionalism and discretion.
o A proactive and solution-oriented mindset.
o Strong attention to detail and a knack for anticipating needs.
• Location: Preferred candidates should be based in Uganda or willing to relocate.
