Job Summary:
The Dispatch Officer is responsible for coordinating transportation and deliveries, ensuring efficient load planning, compliance with safety and regulatory standards, and effectivecommunication with stakeholders. The role also involves f leet management, data analysis, and reporting to optimize logistics operations. The ideal candidate should be tech-savvy, proficient in MS Suite and Google Suite, and possess strong communication and collaboration skills.
Key Responsibilities:
1. Coordination of Transportation & Deliveries
  • Schedule and dispatch deliveries to clients and field locations.
  • Assign vehicles, drivers, and transportation routes for optimal efficiency.
  • Monitor vehicle movements to ensure timely and accurate deliveries.
 
2. Load Planning & Documentation
  • Ensure proper documentation for shipments, including delivery notes and permits.
  • Verify load quantities to ensure compliance with safety and regulatory standards.
  • Coordinate with warehouse teams to ensure accurate stock allocation.
 
3. Compliance with Safety & Regulatory Standards
  • Ensure all transportation activities adhere to health, safety, and environmental (HSE) regulations.
  • Conduct pre-dispatch inspections to verify vehicle and equipment safety.
 
4. Communication & Problem-Solving
  • Maintain constant communication with drivers, suppliers, and clients regarding delivery schedules.
  • Address and resolve delivery issues or delays in real time.
  • Report incidents, accidents, or discrepancies to management and take corrective actions.
 
5. Reporting & Data Analysis
  • Generate daily, weekly, and monthly reports on dispatch activities.
  • Analyze delivery efficiency, costs, and delays to enhance logistics planning.
  • Maintain accurate records of dispatch logs, invoices, and incident reports.
 
 
Qualifications & Experience:
  • Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or a relevant field (preferred but not mandatory).
  • Minimum of 1 year of experience in dispatch/logistics operations within the FMCG industry.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and Google Suite.
