The Head of Depot & Operations has the ultimate responsibility of stewarding Fuel depot and other products storage facilities operations in receipt of product, storage and dispensing and distribution of the same as per Internal Process guidelines.

Job Description/Requirements
- The Job holder is responsible for carrying out Operational Gain/Loss analysis to establish trends and explore opportunities and initiatives to reduce the company’s cost of sales and deliver quality & timely products as per Standard Procedures including presentation ofperformance reports to Management.
- The Job holder is responsible in fostering the implementation and comprehensive and cost-effective equipment maintenance program by Engineering Section to reduce depot down-time and support the customers adequately.

- Safe and environmentally friendly storage of all company, hospitality products, Lubes and LPG cylinders.
- Spearhead the customer service function. Manage work plans supervise and mentor customer service staff.
- Manage and control the vehicle distribution fleet and supervising 10 Distribution staff directly reporting to this position.
- The holder handles stock reconciliation for the Company products and Hospitality stocks and LPG Cylinders.
- The holder is responsible for General Quality and Safety in the Depot.
- Daily stock reconciliations for White products and Lubes to ensure visibility at all times
- Maintain client relationships. Timely delivery of all product stocks as per the orders to Retail stations, Hospitality customers, consumer customers and the Reseller customers.
- Follow up and ensure preventive maintenance are carried out on all depot equipment’s promptly to minimise breakdowns. Escalate to management if issues are not attended to.
- Conduct regular checks on bulk customers to ensure volumes tally with reports
- Responsible for the Receipt, storage and stock control of company and third-party products (hospitality) while observing the HSEQ procedures and guidelines;
- Grow the hospitality business by maintaining excellent after sales customer services to all the company’s clients;
- Responsible for preparing and forwarding daily stocks to clients timely stock positions after both loading and offloading events for planning purposes.
- Develop annual budgets for the depot and other storage facilities in accordance with the planned overall business objectives;
- Prepare periodic stock forecasts and performance reports with recommendations to the MD and CMT to ensure enough volume is at hand to serve orders;
- Manage the performance and development of subordinate staff;
- Ensure compliance to all group policies and guidelines;
- Participate actively in the implementation and monitoring of Quality, Safety and Environment in the Depot and coordinates with HSEQ/Engineering in identifying unsafe operating practices, analyzing risks and developing action plan to address them.
- Ensure activities in the Depot comply with the HSEQ protection control methods to eliminate risk of incidents or Accidents.
- Verification of daily storage tank dips against Closing Physical Stocks, Receipts and Issues in respect of Depot gains or losses. Ensure depot losses are controlled within limits (+)or(-) 0.3% PMS and (+)or(-) 0.1% AGO/BIK.
- Checking the accuracy of the dipstick’s calibration for secondary transport trucks against loading meter calibration and promptly take corrective on any significant anomaly noted.
- The administration of Daily Stock Control excel sheet and reconciling with Oracle and generation of Daily Reports.
- Carry out planned inspections to check conditions of depot installations and set up action plan and follow up procedures.
- Organization of Monthly Emergency safety drills to test the effectiveness of the Depot staff and Fire Fighting Equipment's.
- Receipt, storage and stock control of parked products in the depot while observing the FIFO principle.
- Prepares and submits the bulk reports for both white products, lubricants and LPG cylinders in time i.e., M+1
- Liaison with UNBS and Local contractor to ensure Depot Loading meters and Offloading meters respectively are calibrated as per the schedule ie 6 monthly interval or when deemed necessary.
- Monitor the depot and clerical operations according to Depot operating procedures.
- Execute any other roles as assigned by the Line Manager.
