POSITION SUMMARY:
The Amani Sasa Communications and Admin Assistant plays a key role in supporting the overall operations of Amani Sasa by providing comprehensive administrative and communications support, the role involves writing, editing, and managing content for internal and external communications, as well as assisting with administrative tasks related to the CEO and COO. The assistant also oversees logistics for visiting teams, ensuring their comfort and coordination with Amani Sasa’s programs.
ESSENTIAL DUTIES & RESPONSIBILITIES
- Participate in Writing and Editing Communications for Amani Sasa
- Draft and edit content for external communications, Write and manage content for social media and newsletters that show the impact of Amani Sasa’s mission, manage content calendars for campaigns and communications, Prepare talking points, reports, and scripts for speaking engagements or presentations.
- Provide Administrative Assistance to the CEO and COO
- Manage CEO and COO calendars, appointments, and meeting logistics, Send and respond to emails on their behalf, Make calls and follow up on key tasks, Help with basic payments, reservations, and transactions, Ensure confidentiality, efficiency, and professionalism in all duties.
- Assist and Observe Logistics for Visiting Teams
- Coordinate travel and accommodation for visitors.
- Create schedules, prepare refreshments, and provide local support.
- Ensure hospitality needs are met, including airport pick-up/drop-off.
- Work with staff to align team visits with program timelines.
- Troubleshoot issues and ensure guests have a positive experience.
- Participate in Staff Training and Organizational Learning
- Attend Amani Sasa staff development and training sessions.
- Apply new knowledge to improve communications and admin functions.
- Perform Other Duties as Assigned: Complete additional tasks delegated by the CEO, COO, or Directors.
SKILLS AND ABILITIES
- Communication Skills: Excellent writing, editing, and verbal communication.
- Organization: Strong multitasking, planning, and time management.
- Technical Skills: Proficient in Microsoft Office, social media tools, and digital communication platforms.
- Interpersonal Abilities: Friendly and professional demeanor when working with diverse groups.
- Confidentiality: Discretion with sensitive information.
- Problem-Solving: Able to adapt and resolve logistical and administrative issues effectively.
Qualifications / Education: Minimum of a degree in Communications, Public Relations or any other related field with 2 yrs working experience and must be proficient in IT and computer use.
Experience and Skills: Previous media relations experience in a multi-cultural set-up (NGO) will be an added advantage.
