JOB DETAILS:
Aga Khan Education Service is hiring a Assistant Human Resources Officer to assist with the administration of the human resources and administration functions and duties. His / she will perform a variety of duties in the following functional areas:
Tracking of leave Records
- Enter all leave records into the Time and Attendance software.
- Check all the leave books and ensure that all leave forms have been filled in correctly, duly signed and filled.
- Ensure that all staff who take leave fill in their leave records
- Update the leave plan for all administrative staff
- Make a monthly report.
Recruitment Records
- Receive all applications (hard and soft copies) and ensure they have been categorized and properly filed.
- Assist the HR to coordinate interviews (inviting candidates, arranging interview rooms, arranging interview materials in liaison with the HR and Unit heads etc)
- Ensure that all recruitment records have been properly filled and the files well labelled.
Updating of Personnel Files
- Compile and update all personnel records (hard and soft) on a regular basis (ensure that all files have the requisite documents)
- Ensure that they are well labelled arranged in alphabetic order.
- Ensuring all closed personnel have the necessary document and properly archived.
HRIS – PeopleSoft
- Update the time and attendance records on a timely manner.
Immigration
- Receiving all the details of the international staff and their dependents to apply for the work permits, special pass, students and dependents pass.
- Renewing the expired work permits of the international staff with a go ahead from the HRM.
- Raising and following up of claims for the refund of the security bond.
Any other duties
- Assist with the day to day operation of the HR functions and duties.
- Attend to employee requests regarding HR issues
- Ensure utility bills have been received and paid.
- Ensure that the staff housing file is kept up to date on a regular basis.
Qualifications and Experience
- A university graduate with Business Administration or Human Resource Management degree.
- Minimum of 5 years of Proven experience as HR officer, administrator or other HR position
- Previous proven experience Knowledge of HR functions (pay & benefits, recruitment, training & development etc.)
Skills
- Understanding of labor laws and disciplinary procedures
- Proficient in MS Office; knowledge of HRMS is a plus
- Outstanding organizational and time-management abilities
- Effective organizational, strong communication Teamwork and Interpersonal skills.
- Ability to form working relationships with people at all levels.
