Job Description/Requirements
Job Summary:
The Administrative Assistant will provide administrative support to ensure the smooth operation of Nurture African Youth Network (NAYNet) NGO. This role involves managing office operations, coordinating programs, maintaining records, and providing general administrative assistance.
Key Responsibilities:
Office Administration:
- Maintain a clean, organized, and efficient office environment.
- Manage office supplies, stationery, and equipment.
- Ensure proper maintenance of office assets.
Communication:
- Answer and direct phone calls, emails, and messages.
- Prepare and dispatch correspondence, reports, and documents.
- Maintain effective communication with staff, stakeholders, and partners.
Program Coordination:
- Assist program managers in planning, implementation, and monitoring.
- Coordinate meetings, workshops, and events.
- Prepare and distribute meeting materials.
Record Keeping:
- Maintain accurate and up-to-date records (physical and digital).
- Manage files, databases, and documentation.
- Ensure confidentiality and data protection.
Financial Management:
- Assist with budgeting, financial reporting, and accounting.
- Manage petty cash and handle transactions.
Human Resources:
- Support recruitment, training, and staff development.
- Maintain staff records and update HR documents.
General Duties:
- Provide administrative support to staff.
- Perform tasks assigned by the Executive Director/Head of Administration.
Requirements:
- Diploma/Bachelors degree in Administration, Business, or related field.
- 2+ years of administrative experience (NGO experience preferred).
- Strong organizational, communication, and interpersonal skills.
- Proficient in Microsoft Office and Google Suite.
- Ability to maintain confidentiality and handle sensitive information.
Desirable Qualifications:
- Postgraduate diploma in Administration or related field.
- Experience with NGO operations and grant management.
- Knowledge of accounting software (e.g., QuickBooks).
