About this job A leading Media company with operations across the country invites applications from suitably qualified candidates to fill the vacant position of an Administrative Assistant.

Key responsibilities
• Communication: Serve as the main point of contact internally and externally, including answering phone calls, responding to emails, communicating public holidays to the team, liaising with stakeholders and clients, drafting and editing letters, and managing information databases and reports.

• Meeting Coordination: Organize and coordinate meetings, including taking minutes and following up on action points.
• Finance:
o Initiate processing of vendor purchase orders in liaison with Head Finance.
o Initiate invoicing or billing of clients in liaison with the sales team and Head Finance as per company invoicing cycle.

o Oversee management of petty cash and reimbursements.

o Initiate administration and operational budgets in liaison with Head Finance for approval.
• Coordinate Office Logistics:
o Oversee the use of company fuel and transport reimbursements to enhance utilization and cost minimization.

o Oversee the management of office supplies, equipment, working with vendors, and maintaining staff needs to ensure smooth operations.
• Events & Company Website:
o Organize and coordinate staff retreats in liaison with Head Finance and staff.
o Oversee the development of the company website and updates in liaison with the General Manager and creative team.

Qualifications |
• Undergraduate degree in a Business or Finance-related field.
• Must be pursuing professional accountancy qualifications.
• Strong organizational skills and attention to detail.
• Excellent verbal and communication skills.
• Proficient in Microsoft Office (Word, Outlook, Excel, PowerPoint, Microsoft Teams) and accounting packages like QuickBooks.
• High level of professionalism and positive attitude.
• Ability to multitask and manage time effectively in a fast-paced environment.
• Team player.
• Fast learner.
