Position Summary:
The Administrative Assistant will provide vital support in the smooth functioning of the office and operational activities. This role involves handling clerical tasks, coordinating office operations, and ensuring that the organization runs efficiently. The candidate will work closely with various departments to assist in daily tasks, maintain communication channels, and provide excellent administrative support to staff and management.

Duties and Responsibilities:
• Answer phone calls, handle email correspondence, and assist with in-person inquiries.
• Manage office supplies, monitor stock levels, and place orders when necessary.
• Coordinate and schedule meetings, appointments, and travel arrangements for staff.
• Prepare reports, documents, and presentations as required by management.
• Maintain office systems, including data management and filing.
• Handle incoming and outgoing mail and deliveries.
• Oversee the maintenance and servicing of office equipment, ensuring functionality.
• Serve as a point of contact between various departments, clients, and external parties.
• Organize and maintain accurate records of communications and correspondences.
• Facilitate clear communication within the organization, relaying information as needed.
• Assist in organizing staff meetings, workshops, and community events.
• Prepare logistics for training sessions and other staff development activities.
• Assist in basic bookkeeping tasks, such as invoice processing and expense tracking.
• Liaise with the finance department to ensure timely payments and reimbursements.
• Ensure all administrative and operational procedures comply with organizational policies.
• Keep records of organizational documents, staff contracts, and project files up to date.

Qualifications, Experience and Skills:
• A bachelor’s degree in Business Administration, Office Management, or a related field.
• Minimum of 4 years experience in an administrative role.
• Strong organizational and multitasking abilities.
• Excellent communication skills, both written and verbal.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
• High level of professionalism, confidentiality, and integrity.
• Ability to work independently and as part of a team.
• Familiarity with office management systems and procedures.
• Fluency in English (both written and spoken).
• Strong attention to detail and accuracy.
• Positive, approachable demeanour and ability to handle stressful situations.
• Willingness to learn and adapt in a dynamic environment.
