Job Summary:   The Accounts Assistant is responsible for maintaining accurate financial records, preparing budgets and financial reports, and ensuring compliance with financial regulations and organizational policies. This role provides essential financial management support to the organization, ensuring accountability, efficiency, and transparency in the use of resources. Proficiency in accounting software, especially QuickBooks, is a must.

Key Duties and Responsibilities:

Financial Management and Reporting

  • Maintain accurate and up-to-date financial records, including ledgers, receipts, and expenditure reports.
  • Prepare monthly, quarterly, and annual financial statements and management reports.
  • Reconcile bank statements, accounts, and financial discrepancies.
  • Ensure timely submission of financial reports to management, donors, and statutory authorities.

Budget Preparation and Monitoring

  • Assist in the development of the annual budget and project-specific budgets.
  • Monitor budget performance, flagging variances, and ensuring expenditures align with approved budgets.
  • Provide budgetary advice to project managers to support effective financial planning and management.

Cash and Asset Management

  • Manage petty cash and ensure appropriate documentation for disbursements.
  • Ensure proper management of organizational bank accounts, including deposits, withdrawals, and reconciliations.
  • Safeguard financial and physical assets, maintaining an updated inventory of fixed assets.

Payroll Management

  • Prepare and process staff payroll, ensuring accurate computation of salaries, taxes, and other deductions.
  • Ensure compliance with statutory requirements, including PAYE, NSS, and local tax laws.
  • Maintain confidential employee payroll records.

Compliance and Audit Preparation

  • Ensure compliance with organizational financial policies, donor requirements, and statutory regulations.
  • Support external and internal audits by preparing necessary documentation and responding to auditor inquiries.
  • Implement audit recommendations to improve financial management processes.

Financial Systems and Policy Management

  • Develop, implement, and maintain financial policies, procedures, and internal controls.
  • Ensure efficient use of financial management software, with a strong emphasis on QuickBooks.
  • Provide capacity-building to staff on financial policies and procedures.

Grants and Donor Fund Management

  • Monitor donor fund utilization and prepare financial reports in line with donor requirements.
  • Track grant disbursements and ensure timely reporting and accountability.
  • Support fundraising teams with financial data for proposal development.

Qualifications, Skills and Experience:

  • Diploma but Bachelor’s degree in Accounting, Finance, Business Administration, or related field is required.
  • Professional accounting qualification (e.g., CPA, ACCA) is an added advantage.

Experience

  • Minimum of 3 years of experience in financial management, preferably in a non-profit organization.
  • Experience with donor-funded projects and grants management.
  • Proficiency in QuickBooks is mandatory.

Skills and Competencies

  • Strong knowledge of financial accounting systems and software.
  • Proficiency in Microsoft Office, especially Excel.
  • Excellent analytical and problem-solving skills.
  • High attention to detail and organizational skills.
  • Knowledge of tax and financial regulations in Uganda.
  • Strong ethics and integrity in handling finances.
