Position Summary

Responsible for supporting event logistic execution of the DS Mississauga Academy training and educational live events and programs and various administrative tasks to ensure the seamless functioning of our events and daily operations. The successful candidate must be a team player working collaboratively with cross functional teams.

Accountabilities

  • Support pre, on-site, and post-meeting facility services from start to finish for events taking place at the DS Academy:
    • Manage reservations for showroom and boardrooms.
    • Organize internal meetings.
    • Support Cvent setup in coordination with Academy Supervisor.
    • Provide program status reports.
    • Pull attendee lists.
    • Post public events on Academy website.
  • CE materials:
    • Responsible for tracking master materials calendar.
    • Keep inventory of components for all kits and equipment and ordering components when needed.
    • Work with Academy Supervisor to forecast equipment and consumable needs.
    • Produce name badges, tent cards, sign-in sheet, organize equipment and supplies, support on-site set-up and tear down, manage registration & check-in, and troubleshoot potential problems/conflicts (including Audio/Visual), update TV layouts and arrange the reception area for optimal registration.
  • Equipment responsibilities:
    • Provide technical assistance related to Dentsply Sirona equipment, computers, treatment centers, before, during and after hands-on trainings.
    • Responsible for maintenance of equipment used for training at academy
    • Setup for all technology courses.
    • AV support in classrooms and labs.
    • Supports internal cross functional teams, to help execute and maintain programs for customers and sales training consistent with Dentsply Sirona business needs, practices, regulatory requirements, and industry standards.
    • Administering Canadian Clinical Education inbox, including responding to attendee inquiries and resending CE certificates.
    • Assist with updating online calendar, collecting contact details and information to appropriate governmental and internal groups for CE credit, maintain online program registration site.
    • Answer phone, maintain cleanliness and organization in common areas, including the showroom, reception, Academy rooms, customer dining area, and staff kitchen, produce weekly Academy Supplies inventory and ordering/stocking supplies.
  • Responsible for administrative tasks such as:
  • Collect and distribute office mail.
  • Academy shipping process for materials/mails.
  • Maintain accurate cheque logs for accounting departments.
  • Maintains a professional-level meetings commitment, including a flexible schedule that comprises of evenings, weekends and as needed for proper training programs/events preparation and execution.
  • Performs other duties as assigned or as needed.

Years & Type Of Experience

  • 2 years of meeting/event planning or hospitality experience.
  • College degree in related area (Business, Administration, Events etc.)

Key Required Skills, Knowledge & Capabilities

  • Knowledge and experience in the dental industry would be a plus, but not required.
  • Ability to multitask and problem solve.
  • Ability to overcommunicate in a way that facilitates customer engagement.
  • Excellent communication skills.
  • Excels at follow up and follow through.
  • Highly organized.
  • Excellent computer skills in Microsoft Office: Word, Excel, PowerPoint; Internet and Email applications; Project Management Software a plus.
  • Ability to apply principles of logical thinking to a wide range of intellectual and practical problems.
  • Extreme attention to detail and careful follow-through.
  • Ability to work independently, proactively, under pressure and collaboratively with team members at all levels of the organization.
  • Ability to meet and work with multiple personalities and maintain a pleasant image is required.
