JOB DETAILS:
This post is centered on ensuring the smooth logistical operations of the site office, managing staff, and meeting organizational goals.

Key Duties & Responsibilities
• Ensure that the site operates efficiently and meets performance targets by overseeing day-to-day activities, streamlining processes, addressing bottlenecks, and ensure smooth coordination among different teams.
• Lead and manage the site staff effectively to maintain productivity and morale through supervising employees, providing guidance, delegating tasks, resolving conflicts, and ensuring that staff adhere to company policies and procedures.

• Ensure a high level of donor and partner satisfaction by providing excellent service by monitoring customer interactions, addressing complaints, providing solutions promptly, and ensuring that the site staff deliver consistent, quality service.

• Meet or exceed the site’s performance targets (e.g. service levels, or other KPIs) by tracking performance metrics, and implementing corrective actions when necessary to ensure targets are met.

• Ensure that all site operations comply with company policies, legal requirements, and industry regulations by regularly reviewing branch activities to ensuring compliance, monitoring adherence to internal controls and safety protocols.

• Manage the site’s financial performance by controlling costs, overseeing budgeting, monitoring expenses, identifying cost-saving opportunities, and tracking financial performance regularly.
• Supervise, motivate, and support site staff.
• Provide training and development opportunities to improve team skills and knowledge.
• Manage staff schedules, including shift planning and leave management.
• Ensure that the site has the necessary resources and inventory to operate effectively by monitoring stock levels, coordinating with suppliers for timely deliveries, and ensure resources are used efficiently without wastage.

• Resolve operational, employee, or customer (donor and partners) issues promptly and effectively by analyzing problems as they arise, making informed decisions, and implementing solutions that minimize disruption to site operations.

• Maintain a safe and secure environment for both employees and customers by enforcing safety policies, ensuring that security protocols are followed, conducting regular safety audits, and addressing any risks or hazards promptly.
• Ensure effective  communication between the site and the upper management by providing regular updates to Sub Office management, reporting on performance metrics,  communicating organization directives to the site team, and ensuring transparency in site activities.
• Build and maintain strong relationships with existing customers (donor and partners) to enhance loyalty and retention by monitoring customer retention rates, following up on customer feedback, and implementing customer retention strategies where needed.
• Identify areas for improvement within site operations and implement initiatives to increase efficiency or service quality through regularly assessing site processes, gathering feedback from staff and customers, and proposing improvements that streamline operations or enhance the customer experience.

Requirements
• Bachelor’s degree preferred in Logistics and Supply Chain management, or any other related field
• Minimum 5 years of experience in logistics management managing broad range of components i.e. fuel, fleet, stores etc.

• Proficiency in data analysis and Microsoft Office Suite (Excel, PowerPoint, Word).
