JOB DETAILS:
ETHOS is seeking a proactive and resourceful Administrative & Events Coordinator to manage day-to-day office operations and play a key role in planning and delivering events, trainings, and client programs.
This short term contract between October and December 2025 combines administration, finance oversight and event coordination and requires someone who can take ownership of their responsibilities, make informed operational decisions, and exercise sound judgment while keeping their supervisor informed.

Key Responsibilities
Administration & Office Management
- Oversee daily office operations, correspondence, and filing systems.
- Manage organizational calendars, schedules, and contact databases.
- Act as the first point of contact for inquiries, suppliers, and partners, exercising judgment to respond or escalate appropriately.
- Anticipate and address routine operational needs without waiting for directives.
- Coordinate procurement of office and event supplies, negotiating with vendors within approved budgets.
- Manage programs effectively
Finance Administration
- Track office and expenses and maintain accurate financial records.
- Manage petty cash, payment requests, and support invoicing.
- Monitor budget allocations for specific events and flag any variances.
- Provide timely, accurate expense and finance reports to the Operations Manager.
Events Coordination
- Lead logistics planning for trainings, conferences, and workshops, including venue, catering, and materials.
- Make operational decisions on-site to ensure smooth event execution.
- Manage guest lists, invitations, and event communications.
- Coordinate vendors and service providers, balancing cost-effectiveness and quality.
- Collect post-event feedback and prepare evaluation reports.
Communications Support
- Support creation of newsletters, social media content, and event promotions.
- Liaise with design/printing partners for marketing materials.
- Maintain and update ETHOS’ website with event and organizational information.
Other duties Assigned
Qualifications & Skills
- Bachelor’s degree in Business Administration, Finance, Events, or related field with graduation date from 2022- 2025.
- 2+ years’ experience in administration, finance support, or events coordination.
- Strong organizational and problem-solving skills with ability to make operational decisions independently.
- Proficiency in MS Office (Word, Excel, PowerPoint); Canva/graphics an advantage.
- Excellent written and verbal communication skills.
- Proven ability to manage time, prioritize, and handle multiple assignments.
- Professional, dependable, and comfortable taking initiative with minimal supervision.
