Job Description Hotel Front office Assistant

We are seeking a friendly and professional Front Office Assistant to join our hotel team in Entebbe, Uganda. In this role, you will be the first point of contact for our guests, ensuring a warm welcome and providing exceptional customer service throughout their stay. Your responsibilities will include managing reservations, handling guest inquiries, and coordinating with various departments to ensure a seamless guest experience.​

Key Responsibilities:

  • Guest Reception: Greet guests upon arrival, manage the check-in and check-out processes efficiently, and provide information about hotel services and amenities.​
  • Reservation Management: Handle room bookings, cancellations, and modifications using the hotel's reservation system.​
  • Customer Service: Address guest inquiries and complaints promptly, striving to resolve issues to the guest's satisfaction.​
  • Communication: Answer incoming calls and emails, direct them to the appropriate departments, and provide accurate information as needed.​
  • Administrative Tasks: Maintain accurate records of guest information, process payments, and prepare daily reports for management.​
  • Coordination: Liaise with housekeeping and maintenance teams to ensure rooms are ready for guests and address any issues that arise during a guest's stay.​

Qualifications:

  • High school diploma or equivalent; a degree in Hospitality Management is a plus.​
  • Proven experience in a customer service role, preferably in the hospitality industry.​
  • Proficiency in hotel management software and Microsoft Office Suite.​
  • Excellent communication and interpersonal skills.​
  • Ability to multitask and remain calm under pressure.​
  • Flexibility to work various shifts, including weekends and holidays.​

Preferred Skills:

  • Multilingual abilities to communicate effectively with a diverse clientele.​
  • Familiarity with local attractions and services to assist guests with inquiries.​
  • Experience with point-of-sale (POS) systems.​

Working Conditions:

  • Standing for extended periods during shifts.
  • Working in a fast-paced environment with high guest interaction.​
  • Availability to work flexible hours, including nights, weekends, and holidays.
