To support Ibero’s ambitious growth plans, we are looking for a:
Logistics Coordinator – Ibero Uganda Limited (f/m/d).
The position will be based in our Kampala Uganda office and will report directly to the Country Logistics Manager of Ibero Uganda Limited.
Job Summary
The Logistics Coordinator will coordinate and oversee the efficient and effective logistics operations ensuring timely and cost-effective delivery of coffee exports.
The role involves coordinating with various stakeholders, including UCDA, freight forwarders and local transporters to facilitate smooth operations from warehouse to final destinations, ensuring compliance with regulations, and optimizing logistics processes to support the company’s goal of delivering high-quality coffee to global markets.
Your responsibilities:
- Logistics Coordination:
- Oversee all aspects of coffee export logistics, including planning, documentation and execution.
- Reviewing and understanding shipping instructions and making intime preparation of special export arrangements for exports
- Ensure preparation of correct shipping documents as per client’s requests.
- Ensure timely booking and shipping arrangements with freight forwarders and shipping lines.
- Ensure timely dispatch of shipment documents to clients to aid clearance at destination
- Follow up on in country cargo in transit to ensure receipt at destination and proper declaration at boarder points for export cargo.
- Monitor shipment progress and provide regular updates to the Country Logistics Manager and clients.
- Stakeholder Engagement:
- Act as the primary liaison with UCDA to ensure compliance with export regulations and obtain necessary clearances.
- Build and maintain strong relationships with freight forwarders and shipping lines to secure favourable rates and schedules.
- Documentation and Compliance:
- Ensure all export documents (invoices, phytosanitary docs, bills of lading, etc.) are accurate and submitted on time.
- Work with UCDA to meet coffee export certification and quality standards.
- Ensure compliance with local and international shipping regulations.
- Inventory and Quality Management:
- Collaborate with the warehouse team to manage inventory levels and prepare shipments.
- Ensure alignment with coffee quality standards as per client’s instructions before export.
- Operational Efficiency:
- Identify and implement process improvements to enhance the efficiency and cost-effectiveness of logistics operations.
- Monitor and report on key performance indicators (KPIs), including shipment timelines and costs.
- Problem-Solving and Risk Management:
- Address and resolve issues related to delays, damage, or non-compliance.
- Develop contingency plans to mitigate risks associated with logistics operations.
- Communication and Reporting:
- Prepare and present logistics reports to management, highlighting key metrics and areas for improvement.
- Ensure clear and effective communication across all departments involved in the logistics chain.
- Effectively customer update on the different updates regarding their contracts.
- Timely response to customer inquiries and queries and referring them to the right information channels where need be.
Your profile
- Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or a related field.
- Minimum of 3 years’ experience in logistics, preferably within the agricultural sector or logistics industry.
- Proficiency in logistics software and tools (ERP systems, Excel).
- Knowledge of UCDA regulations and processes is an advantage.
- Ability to work under pressure and manage multiple tasks simultaneously.
- High level of personal integrity and attention to detail.
- High resilience, reliability as well as ability to manage deadlines.
