JOB DETAILS:
B1. Overall Purpose of the Job
The Fleet Tracking Officer is responsible for daily tracking and monitoring of the fleet to ensure efficiency in operations, compliance with company policies, and adherence to safety standards. This role involves analyzing fleet performance, optimizing routes, reducing costs, and ensuring timely delivery of goods using GPS tracking systems.

B2. Specific Duties/Accountabilities
1. Fleet Monitoring and Tracking:
o Coordinate with GPS providers for the installation and de-installation of tracking units.
o Conduct physical inspections to ensure all vehicles and equipment are fitted with functional GPS tracking systems.

o Monitor vehicle locations and driver performance through GPS tracking systems.
2. Fuel Management:
o Ensure diesel trucks are calibrated properly and operating efficiently.
o Monitor daily diesel mileage to detect theft, inefficiencies, or variations in fuel usage based on trips.

o Audit and review fuel reports and address discrepancies.

o Discuss diesel usage and related issues with the General Manager and prepare monthly reports.
3. Driver Performance Management:
o Monitor driver performance, including over-speeding, and take disciplinary action when necessary.

o Assist the HR/Admin team in evaluating drivers' performance.
4. Documentation and Reporting:
o Provide on-demand, detailed reports of vehicle locations from the GPS database.
o Assist invoice clerks and logistics coordinators in collecting proof of delivery (POD) and other required documents from drivers.

o Review and audit fuel and mileage reports regularly.
5. Route Optimization:
o Gather data to develop improvement plans for vehicle routing.
o Optimize routes to improve delivery efficiency and reduce costs.
6. Technical Support:
o Resolve technical issues related to GPS tracking systems.

C. Knowledge, Qualifications, and Experience
C1. Education:
• Required: Bachelor’s degree in Logistics, Supply Chain, Business Administration, or a related field.
C2. Experience, Skills, and Competencies:
• Experience:
o Proven experience in fleet management, logistics, or transport tracking.
• Technical Skills:
o Familiarity with GPS tracking systems and transport management software.
o Proficiency in MS Office (Excel, Word, PowerPoint).
• Soft Skills:
o Strong communication skills.
o Analytical thinking and attention to detail.
o Problem-solving ability and decision-making under pressure.
