Job Summary:

The Receptionist at iDental Care Clinic is responsible for managing the front desk, ensuring patient details are accurately recorded, coordinating patient flow, and providing exceptional customer service. This role involves reminding patients of their appointments, checking on them, and managing the waiting queue in collaboration with dental officers and surgeons.

Key Responsibilities:

1. Patient Interaction and Management:

  • Greet patients and visitors in a warm and professional manner.
  • Register new patients and update existing patient information in the system.
  • Ensure all patient details are accurately recorded and maintained.

2. Appointment Coordination:

  • Schedule and confirm patient appointments via phone, email, or SMS.
  • Remind patients of their upcoming appointments.
  • Manage the appointment calendar to optimize patient flow and reduce waiting times.

3. Patient Traffic Coordination:

  • Coordinate with dental officers and dental surgeons to manage the patient queue.
  • Direct patients to the appropriate waiting areas.
  • Monitor the waiting area to ensure patients are comfortable and informed about any delays.

4. Customer Service:

  • Address patient inquiries and concerns promptly and courteously.
  • Provide information about clinic services, policies, and procedures.
  • Follow up with patients post-appointment to check on their well-being and satisfaction.

5. AdministrativeDuties:

  • Answer and direct incoming phone calls.
  • Handle patient records with confidentiality and ensure compliance with privacy regulations.
  • Perform clerical duties such as filing, photocopying, and scanning documents.

6. Coordination with Staff:

  • Collaborate with dental officers, dental surgeons, and other clinic staff to ensure smooth operations.
  • Communicate effectively with the team regarding patient flow and any special requirements.

7. Queue Management:

  • Monitor and manage the waiting queue to ensure timely patient care.
  • Inform dental officers and surgeons about the status of the waiting area.
  • Implement strategies to improve patient wait times and overall experience.

8. Other Duties:

  • Maintain a clean and organized reception area.
  • Assist with additional tasks as needed to support the clinic’s operations.

Qualifications:

  • Education: Bachelor’s degree in any business field. Additional qualifications in customer service or administration are a plus.
  • Experience: Previous experience as a receptionist or in a customer service role, preferably in a healthcare setting.

Skills:

  • Excellent communication and interpersonal skills.
  • Strong organizational andmultitasking abilities.
  • Proficiency in Microsoft Office Suite and familiarity with patient managementsoftware.
  • Ability to handle sensitive information with discretion.
  • Customer-focused attitude with a commitment to providing exceptionalservice.

Working Conditions:

  • This role requires working in a fast-paced clinical environment.
  • Must be able to handle multiple tasks simultaneously.
  • Requires sitting for extended periods.
  • Working Hours: 08:00am to 06:30pm
  • Work days per week: 06 days
