Human Capital Business Solutions Ltd is a Boutique HR Advisory Firm that specializes in strategic HR Consulting, Talent Acquisition & Development, Risk Management and Business Process Outsourced Services with our Headquarters based in Uganda and Country Office in Tanzania.
Our client is a Steel Manufacturing Company based in Jinja, Uganda with a large focus on Steel manufacturing, production and distribution. On behalf of our client we are looking for a competent and experienced Senior Store Assistant to be based in Jinja, Uganda.
Reports To: The Head of Store
Duty Station: Jinja, Uganda
Job Summary: The Senior Store Assistant will play a key role in supporting the store Officer and the entire team by performing a variety of tasks assigned to him from time to time. The role also involves assisting with daily store operations, maintaining records of receivables/Issuance of goods.
• This role also requires updating pending Indent Sheets with LPO details in Excel.
• Material intake from Suppliers / Vendors & checking the supporting documents with LPOs.
• Stock taking of material & keeping for user inspection then putting into the Location after right codification.
Main Duties and Responsibilities
• Identify materials that need replenishment by monitoring stock levels and requirements from different departments.
• Prepare purchase indents (internal requests) to initiate the procurement of required materials.
• Ensure that indents are accurate, properly authorized, and submitted to the purchasing department.
• Maintain awareness of inventory needs, avoid stockouts, and ensure timely procurement to support uninterrupted production.
• Collaborate with department heads to understand material requirements and priorities.
• Organize Local Purchase Orders (LPOs) received from the purchasing department.
• Ensure that all LPOs are correctly filed in their respective folders, either physically or digitally, for easy access and auditing purposes.
• Maintain an up-to-date filing system for LPOs for traceability and compliance with auditing processes.
• Ensure accuracy in documentation, assisting in the smooth coordination between purchasing and stores.
• Track the status of purchase indents and update Pending Indent Sheets with relevant LPO details.
• Input LPO data into Excel to maintain a clear overview of materials ordered, delivered, and pending.
• Maintain accurate and timely records of all procurement activities to ensure transparency and help resolve any procurement delays.
• Regularly update records to reflect the latest purchase and receipt status.
• Process material requisitions received from different departments, ensuring they are correctly authorized.
• Enter the material requisition details into Tally to maintain up-to-date inventory records.
• Prepare gate passes (returnable and non-returnable) for materials leaving the factory premises.
• Create delivery notes for materials being dispatched to other departments or external parties.
• Maintain control and documentation for all materials entering and exiting the premises to ensure accountability.
• Ensure that all gate passes and delivery notes are correctly authorized and reflect accurate details of the materials.
Qualifications, Experience, and Skills
• Bachelor's degree or Diploma in Store Management, Procurement, BBA, or a related field.
• Understanding of the quality control processes in a manufacturing company.
• At least 2-3 years post qualification experience as a Senior Store Assistant in a manufacturing company.
• Strong knowledge of inventory control practices, including stock replenishment, order processing, and maintaining minimum stock levels.
• Strong knowledge of using inventory management software and ERP systems (such as SAP, Oracle, or Tally) to monitor stock levels and generate reports.
• Ability to forecast material needs based on production schedules and demand.
• Excellent organizational skills to manage stock movement, maintain orderly storage areas, and ensure all records are up-to-date.
• Ability to manage multiple tasks such as stocktaking, reordering, and issuing materials without errors.
• Strong leadership and interpersonal skills to effectively manage a team of store assistants, drivers, and other warehouse personnel.
• Strong written and verbal communication skills for reporting inventory levels, shortages, or issues to management and other departments.
• Strong problem-solving skills for handling stock discrepancies, material shortages, and supply chain issues.
Barriers to Success in Role
• Limited or lack of technical knowledge about quality control processes in a manufacturing company.
• Inability to manage multiple tasks such as stocktaking, reordering, and issuing materials without errors.
