Higher Education Resource Services-East Africa (HERS-EA) is a non-profit organization dedicated to enhancing leadership, management, and governance in higher education institutions across East Africa. We provide professional development programs, mentorship, and resources to empower individuals and educational institutions in the region.

Job Summary:
HERS-EA is offering an internship opportunity for a motivated graduate or current student pursuing a degree in Public Administration, Business Administration, Human Resources, Communication, Accounting, or any related field. As an Administrative Intern, you will play a key role in supporting the daily operations of HERS-EA through a range of administrative and organizational tasks. This internship is for three months, with the possibility of extension based on task availability and stipend funding.

Key Responsibilities:
• Responding to phone calls, emails, and other correspondence, ensuring they are directed appropriately.
• Attending to visitors and inquiries
• Assisting in the organization of meetings, appointments, and events.
• Maintaining calendars and schedules for managers and teams.
• Supporting the preparation, formatting, and editing of reports, memos, and presentations.
• Organizing and managing physical and digital filing systems.
• Assisting with data entry, record-keeping, and ensuring the accuracy of office activity logs.
• Ordering office supplies and coordinating repairs to ensure proper office functionality.
• Preparing materials, agendas, and minutes for meetings while handling sensitive information with discretion.
• Supporting the preparation of expense reports, tracking invoices, and ensuring timely payment processing.
• Assisting in arranging travel itineraries, accommodations, and transportation for staff members and guests.
• Assisting the Operations and Communications Manager with any additional tasks as assigned.
